About the role
- Serve as a strategic partner to members of the Senior Leadership Team
- Own complex calendar management, ensuring clear context and optimal use of executive time
- Provide proactive support to keep leaders aligned on priorities, deadlines, and key deliverables
- Act as a point of contact between executives, employees, clients, and external partners
- Coordinate domestic and international travel arrangements
- Manage and submit expense reports
- Draft, edit, and finalise internal and external communications (memos, emails, presentations, reports)
- Coordinate leadership meetings, team off-sites, and strategic planning sessions
- Handle highly sensitive and confidential information with discretion
- Own end-to-end operations of the office, ensuring seamless daily functionality and an exceptional employee experience
- Serve as the operational lead for the office hub, creating a welcoming, high-energy, professional environment
- Identify operational gaps and implement scalable solutions before issues arise
- Lead vendor sourcing, negotiation, and management (facilities, cleaning, catering, maintenance, security, etc.)
- Partner with building management to resolve facilities issues and ensure business continuity
- Manage office budgets, forecasting, and end-of-month financial tracking
- Develop and maintain operational playbooks and scalable processes
- Drive workplace analytics and reporting to inform space planning and expansion decisions
- Support the global Workplace team on logistics for office build-outs, expansions, and relocations in Europe
- Drive project management across cross-functional stakeholders (IT, Security, People, Finance, Legal)
- Establish documentation, infrastructure, and standards that scale with company growth
- Partner cross-functionally to ensure smooth onboarding and operational readiness for new hires
- Design and continuously improve in-office experience strategies that encourage collaboration and community
- Own logistics and execution for team events, co-working days, leadership visits, and company-wide gatherings
- Anticipate employee needs and implement thoughtful enhancements to the workplace
- Foster a culture of transparency, professionalism, and positive energy across the office
Requirements
- 3+ years of proven experience as an Executive Assistant, Personal Assistant or similar role in a high-growth environment
- Excellent Google Suite and Slack knowledge
- Adaptable and flexible. You are an expert at navigating change and ambiguity. You thrive in ambiguity and enjoy creating structure in fast-moving environments
- Outstanding organisational and time management skills
- Works collaboratively with peers
- Excellent verbal and written communication skills
- Discretion and confidentiality
- Ability to prioritise and handle multiple tasks at once
