About the role

  • Manage logistical and administrative backend activities of employee onboarding, learning, compliance, and reporting
  • Provide administrative support to the Chief People Officer and Director of Employee Relations
  • Gather and file paperwork related to new hires and existing employees (offer letters, background check authorizations, NDAs)
  • Distribute policies, passwords, and guidelines in technology systems for new and existing employees
  • Coordinate, prepare, and distribute employee documentation as requested
  • Maintain oversight of Vista Care learning management system and associated reporting requirements
  • Assist with creation of learning activities and classes as requested by leadership
  • Maintain and provide accurate reporting of various metrics as requested by Vista Care leadership
  • Ensure personnel files for all new hires are completed timely and in compliance with state, local and industry requirements
  • Complete audits of employee files regularly and assist with audits or surveys by state authorities and funders
  • Adhere to Vista Care policies and maintain a high level of confidentiality
  • Work collaboratively with human resources and People Division teams
  • Perform other duties as assigned by leadership

Requirements

  • Must be 18 years or older
  • High School Diploma or equivalent required
  • Bachelor’s Degree preferred
  • 1-3 years experience within Human Resources, Recruiting and/or Employee Onboarding preferred
  • Ability to work successfully and professionally with all levels of employees and management
  • Ability to understand basic technical concepts and explain them in simple terms
  • Ability to troubleshoot, identify improvements, and make simple decisions independently
  • Strong attention to detail with ability to prioritize and handle multiple tasks at once
  • Strong team player with a results driven approach and ability to work with limited guidance
  • Strong interpersonal and communication skills, including active listening
  • Proficiency in Google Suite, Excel, etc.
  • Prior experience in HR systems and applicant tracking systems (e.g., UKG/Paycor Recruiting); HR capital management systems
  • Position works onsite in Vista Care corporate office environment
  • Prolonged periods of sitting at a desk and working on a computer/laptop
  • Must be able to lift 15 pounds at times
  • Regular and prompt attendance required
