Remote position: Bilingual Front Desk Virtual Assistant for a property management team
First point of contact delivering exceptional customer service over the phone and providing administrative support
Support multiple departments including Leasing and Maintenance, ensuring communication, documentation, and coordination of services for managed properties
Answer and route incoming calls; communicate with property owners, tenants, vendors, and internal staff
Document communications clearly and accurately; assist in resolving customer inquiries and escalate when necessary
Maintain records of key property information; advertise vacant units; prepare and manage leasing documents and move-in sheets
Process rental applications and ensure documentation is filed correctly
Coordinate appointments for third-party visits, maintenance vendors, and auto-showings
Review and assign maintenance service requests daily; follow up on open work orders and assist with after-hours maintenance as needed
Communicate work status updates and coordinate seasonal/routine maintenance (e.g., sprinkler activation, winterization)
Requirements
Bilingual: Fluent in English and Spanish
High school diploma or equivalent required
Excellent verbal and written communication skills
Strong organizational and multitasking abilities in a fast-paced environment
Proficient in Microsoft Office and internal software systems (training provided)
Ability to manage multiple phone lines and prioritize tasks efficiently
High attention to detail and accuracy in recordkeeping
Team player with strong problem-solving skills and a customer-focused mindset
A fast and reliable internet connection of at least 10 Mbps with internet backup available
