About the role
- Manage and prioritize the CEO’s calendar, meetings, travel, and communication with professionalism and discretion.
- Track deals and invoices across HubSpot and QuickBooks, flag overdue payments, and deliver clear weekly AR visibility reports.
- Oversee software seat management and maintain onboarding/offboarding checklists; liaise with Gusto HR for new-hire setup.
- Translate Slack, emails, and verbal downloads into organized task boards and a concise 'Morning Brief' of daily priorities.
- Prepare and summarize leadership meetings — draft agendas, capture action items, and circulate polished recaps.
- Manage LinkedIn presence: track key contacts, queue engagement posts, and help maintain consistent visibility within the HubSpot ecosystem.
- Conduct daily pulse checks with the CEO to align priorities, remove blockers, and close feedback loops.
- Continuously document and refine workflows to build structure, accountability, and calm across Growth’s leadership rhythm.
Requirements
- 5+ years supporting a Founder/CEO as an Executive Assistant, Chief of Staff, or Senior Operations Coordinator.
- Proven success managing email, scheduling, and reporting systems in fast-paced, high-growth environments.
- Strong organizational and follow-through ability; able to manage complex details without losing sight of priorities.
- Financial literacy and experience tracking invoices, AR/AP, and contract terms.
- Excellent written and verbal communication skills.
- High proficiency with HubSpot, QuickBooks, Gusto, Google Workspace, and Asana (or similar tools).
- Tech-savvy problem solver who anticipates needs, takes initiative, and works independently.
- Calm, discreet, and emotionally intelligent—able to bring structure and composure to a driven founder’s world.
- Up to $1200, depending on experience
