This is a remote position supporting an executive team for a pediatric occupational therapy practice.
Responsibilities include executive & administrative support, coordinating across departments, supporting COO and CFO, and managing scheduling and onboarding.
Manage park permitting, university placements, internship and volunteer programs, recruitment and onboarding, and onboarding of group assistants.
Input and maintain program data in the EMR system (Therabyte), ensure billing accuracy, and distribute superbills.
Track deadlines via ClickUp and Google Workspace; update company website and support marketing tasks; document processes via Loom.
Requirements
Proven experience as an Executive Assistant, Chief of Staff, or in a senior administrative support role.
Exceptional organizational and time-management skills with the ability to juggle multiple priorities.
Strong written and verbal communication skills; professional and clear communicator.
Ability to work independently, take ownership of tasks, and proactively problem-solve.
Comfortable using and managing multiple platforms, including: ClickUp, Trello, Google Workspace (Docs, Sheets, Drive, Forms) EMR systems (e.g., Therabyte) Acuity Scheduling, Zoom, Google Meet LastPass, Loom, Squarespace
High level of accuracy and attention to detail, especially in compliance-related and data-entry tasks.
Experience working with multi-state practices or organizations experiencing rapid growth is a plus.
