About the role

  • Provide high-level operational and strategic support to the Founder and CEO, acting as an extension of the executive office.
  • Act as the key liaison and trusted advisor to the Founder and CEO, managing complex calendars, meetings, priorities, and high-level projects.
  • Proactively identify priorities, anticipate business needs, and resolve scheduling and operational conflicts before they arise.
  • Prepare, review, and coordinate executive-level correspondence, presentations, and reports, ensuring accuracy and alignment with business goals.
  • Build and nurture relationships with senior leadership, investors, external partners, and high-profile stakeholders.
  • Implement and optimise workflows, processes, and standard operating procedures that strengthen executive productivity and company-wide alignment.
  • Lead or oversee confidential projects and priorities, displaying sound judgment and a high degree of discretion at all times.
  • Provide leadership in managing sensitive information, crisis communication, and issue resolution.
  • Contribute to the company’s strategic agenda with insights gathered through broad visibility into leadership discussions.
  • Play a key role in cross-functional initiatives and company-wide alignment.
  • On-site role based in Warsaw, Poland.

Requirements

  • 5-7 years as an Executive Assistant, with direct support to C-level leaders, preferably in tech, finance, or high-growth sectors.
  • Leverage over 8 years of experience to anticipate needs, drive results, and act as an extension of the executive office.
  • Excellent proficiency in both English and Polish.
  • Strong track record of relationship-building and influencing at the executive level.
  • Advanced skills in calendar management, travel planning, event coordination, and project execution.
  • Proactive, resourceful, unwaveringly professional, with the ability to think ahead and navigate ambiguity.
  • Excellent organisational skills and meticulous attention to detail, with a knack for managing multiple priorities.
  • High degree of emotional intelligence, discretion, and trustworthiness in handling sensitive topics.
  • Eligible to work in Poland without requiring visa sponsorship.
  • Willingness to work on a B2B consultancy agreement.
