Operations

• Directs and supervises the activities of the facilities management department and mailroom operations
• Project management of large facility repairs or capital projects
• Assists with and/or coordinates administrative procurements
• Directly supervises the Manager of Facilities, Grounds & Security and the Supervisor - General Services
• Establishes priorities and oversees the Facility, Grounds & Security, Print Shop and the Mailroom departments and staff
• Serves as project manager for significant facility repairs, renovations or other capital improvement projects
• Assists direct reports with staffing requirements such as hires, onboarding, training, evaluations and terminations
• Establishes and coordinates the overall Security Plan for all facilities
• Assists Division Director and HR with Safety and Workers Compensation mitigation efforts
• Maintains and updates the disaster recovery plan
• Assists with leasing activities, serves as liaison with tenants and assists branch offices with landlord/leasing issues or concerns
• Assists with the property and business insurance policies and claims and other administrative management duties as assigned

Director – Administrative Operations

Manager

• Coordinates and administers the evaluation and monitoring of Florida attorneys
• Selects evaluators, reviews compliance documentation, tracks treatment and recovery requirements
• Facilitates communication with attorneys, evaluators, treatment providers, and bar staff
• Processes formal referrals from the Florida Board of Bar Examiners (FBBE) and Lawyer Regulation
• Maintains detailed records of each respondent's participation
• Executes and manages monitoring agreements, generates related reports and statistics
• Acts as liaison between bar staff, respondents, evaluators, volunteers, treatment facilities, and mental health professionals
• Informs the Division Director and/or Staff Counsel of any noncompliance issues
• Presents at Ethics School and Stress Management Workshop
• Provides objective testimony regarding a respondent's progress, compliance, and clinical prognosis

Clinical Case Manager

Accounting Manager

• Enters invoices and reimbursement requests for payment
• Provides timely and accurate information to vendors, customers and departments
• Audits processes and ensure compliance with internal accounting procedures
• Assists the Accounting Manager in reviewing terms and method of payments
• Research items lacking proper documentation and contacts the member, department or vendor (if applicable) for missing information
• Supports the Accounts Payables and Accounts Receivable process
• Investigates and reconciles financial discrepancies as requested

Accounting Specialist

• Master set up of Professional Development Department events and items into Salesforce and provide reports from Salesforce
• Oversee Salesforce integration with Informz for Sections and Divisions
• Responsible for accurate set-up of events and items in Salesforce for Sections, Divisions, and Committees within the Professional Development Department
• Monitor TFB Member Portal, mobile devices, and tablet registration to ensure excellent member experience when shopping for Section and Division courses, retreats, events, CDs, DVDs, books, online, and downloadable aftermarket products
• Maintain the necessary skills and knowledge base in Salesforce integration with Informz for marketing campaigns and automatic delivery of course books and surveys
• Generate and provide Salesforce reports, as needed

General

• Provides assistance to Bar members relating to member information and membership fees.
• Performs related accounting functions.
• Answers telephone calls and emails providing information on Bar members internally and externally.
• Assist callers with confirming members' contact information and their membership status.
• Assists Bar members and the public in using the storefront portion of the Florida Bar's website.
• Maintains member records by updating contact information.
• Update's member statuses i.e., judge codes, reinstatements, and deceased.
• Processes routine correspondence and documents communication with members/customers in Salesforce to enhance customer service.
• Processes membership fees.
• Process public records requests by coordinating such request with the Information Technology Dept. and corresponds with the requestor.
• Prepares affidavits regarding member records, as requested.
• Scan and upload fee statements and related documents.
• Perform quality assurance on scanned images.
• Resolve all upload errors.
• Interprets and explains Rules Regulating the Florida Bar related to membership classifications, fees, and contact information.
• Proactively considers and recommends procedural changes as warranted and assists with updating the Membership Records desk manuals.
• Assists with special projects when assigned.
