About the role

  • Field incoming calls and transfer to appropriate associate, answer questions, take messages and direct to appropriate contact.
  • Type and design general correspondences, memos, charts, tables, graphs, business plans, reports etc. utilizing Microsoft Office.
  • Schedule and organize activities such as meetings, travel, food orders and department activities for members of the Savage location.
  • Greet visitors at the front desk and manage visitor logbook; contact associate(s) being visited.
  • Purchasing supplies for production shop & warehouse when required and manage office supply inventory.
  • Stock breakroom & conference room supplies daily and sort/distribute mail for various departments.
  • Confirm voicemails and direct them to appropriate person via email or verbal follow-up.
  • Set up and run reports within Trend system when requested/as required.
  • Work independently and within a team on special, nonrecurring, and ongoing projects.
  • Work with production scheduler to build work order packets with assembly drawings and labels daily.
  • Perform other various duties as required.

Requirements

  • High school diploma/GED required, associate’s degree preferred.
  • 1-3 years of administrative support experience with demonstrated ability to handle multiple projects and details simultaneously.
  • Proficient knowledge in Microsoft Suite for word processing, spreadsheets, reports, databases and presentations.
  • Very experienced in Microsoft Office programs, internet, high importance on skill level of Excel.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Ability in self-direction, tact, diplomacy and a clear, courteous and professional manner.
  • Organizational skills: manage multiple tasks, prioritize responsibilities, manage time effectively.
  • Communication skills: proficient in verbal and written communications.
  • Reliability and customer focus; positive outlook.
  • Experience with Trend system and running reports.
  • Receptionist and customer service skills (phone interaction, greeting visitors, directing callers).
