About the role
- Support execution of marketing strategies and day-to-day operations across campaigns, communications, conventions, trade shows and digital platforms
- Maintain accuracy of sales projects in PipeDrive and manage Customer Contract spreadsheet to track membership counts and invoicing rates
- Maintain RFP responses library and coordinate RFP efforts with the team
- Send client contracts through DocuSign for signatures and manage contract-related workflows
- Create calendar invites for client meetings and coordinate Business Review schedules
- Manage Chief Strategist open action items, projects, and calendar
- Maintain timelines for all conferences and manage annual conference membership dues, registrations and submission materials
- Follow up with stakeholders to track and finalize digital content and submissions, and prepare presentation decks
- Handle booth, panel & speaker registrations; submit headshots and bios; order conference promo items
- Plan booth set-up, arrange shipping of booth items to/from conferences, and manage print jobs
- Arrange travel (flights & hotels) and logistics for conference attendance
- Coordinate with vendors and internal teams to ensure brand consistency and audience engagement
Requirements
- Bachelor’s degree in Business, Marketing or related field
- 4+ years administrative experience required
- 3+ years of strong PC knowledge and skills, including Microsoft Office with a strong focus in Teams and PowerPoint products
- Experience with PipeDrive (CRM) and maintaining sales projects
- Experience managing RFP responses and coordinating RFP efforts
- Experience sending client contracts through DocuSign and managing contract spreadsheets
- Calendar management and scheduling experience
- Experience arranging travel (flights & hotels) and handling logistics for conferences
- Highly organized, detail-oriented, and able to prioritize to meet deadlines
- Strong interpersonal and excellent written and verbal communication skills
- Proven multitasker with sound judgment, initiative, and problem-solving abilities
- Capable of resolving complex issues independently
- Collaborative team player with a positive and professional demeanor
- Must be a legal resident of the United States of America
- Applicants local to the DFW area are required to work at the SmartLight HQ office 1 day per week
