About the role
- Supervise and mentor administrative support staff across departments and multiple BBN locations in the U.S.; provide daily oversight, guidance, and team leadership
- Ensure effective daily administrative support including scheduling meetings, event coordination, onboarding support, procurement assistance, expense processing, visitor access assistance, office supplies management, and other office tasks/functions
- Set clear direction and expectations; balance workloads and manage absences; ensure administrative staff are available to support special onsite events or meetings; promote a collaborative team environment
- Recruit, hire, and onboard administrative support staff in accordance with company policies, processes and procedures
- Manage performance including conducting performance reviews, coaching and feedback, and support of staff professional development
- Support BBN’s process for onboarding non-employees (consultants, technical service providers, visiting researchers)
- Train staff to comply with company policies and procedures, and computer system use; serve as a subject matter expert on administrative protocols
- Manage administrative staffing levels, assignments, schedules and administrative budgets to ensure adequate coverage during surge efforts while maintaining efficient operations
- Partner with Operations, Business Unit leaders and other functional areas to coordinate and align administrative support with business needs
- Ensure compliance with internal policies, government regulations, and industry standards, particularly regarding data privacy, contractual requirements, and ethics
- Oversee travel and expense process and submissions; review and manage travel/expense and expenditures submitted by administrative support staff; review and approve budgets for administrative staff support
- Lead and facilitate regular team meetings and develop agendas and execution strategies aligned with BBN’s operational priorities and strategic goals
- Report to BBN’s Director of Programs; expected to travel quarterly to BBN and/or RTX sites as needed
Requirements
- U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract
- Bachelor’s degree in business administration, business management, or related field
- Bachelor's degree with 8 years of experience, or an advanced degree with 5 years’ experience with at least 5 years in a supervisory/manager role, or 12 years of relevant professional experience without/in lieu of a degree
- Ability to manage a geographically disbursed team with varied experience
- Strong leadership and interpersonal skills; experience working with members of an executive leadership team
- Excellent organizational skills with the ability to effectively adjudicate and satisfy competing priorities
- Strong written and verbal communication skills
- Professional acumen, including an ability to handle confidential information with discretion
- Experience managing budgets and vendor relationships
- Willingness to travel, sometimes on short notice, in support of company priorities; position expected to travel quarterly
- Proficiency working in the major components of MS Office Suite, including PowerPoint, Excel, Word, Outlook, and Teams, as well as databases, expense reporting software, and other company-specific software tools
- Experience with scheduling, event coordination, onboarding support, procurement assistance, expense processing, visitor access requests, and office supplies management
- Security Clearance: None/Not Required (Existing Secret level or higher preferred)
- Adaptability in fast-paced environments (preferred)
- Experience working with a large company with multiple business operations (preferred)
- Experience managing financial plans and reports and presenting on these topics with peers and leaders (preferred)
- Comfortable navigating change and ambiguity (preferred)
- Experience in facilities management or operations support (preferred)
