Procurement

• Collaborate with internal departments (e.g. Finance, Tech, Programs, Affiliates) to understand their purchasing needs, specifications, and timelines for tactical buys.
• Serve as a primary point of contact for supplier communications related to specific sourcing events, orders, and operational issues.
• Support the Procurement team in implementing sourcing strategies by executing defined tactical buying processes.
• Build and maintain effective working relationships with internal stakeholders and suppliers to ensure smooth Procurement operations.
• Assist in educating internal users on Procurement processes and systems.
• Manage the end-to-end tactical sourcing process for assigned goods and services, including supplier discovery, requirements gathering, and market assessment for specific needs.
• Develop and issue RFQs, RFPs, and RFIs for tactical purchases; analyze supplier responses, and make recommendations for awards.
• Negotiate pricing, payment terms, delivery schedules, and other contractual terms with suppliers to achieve favorable outcomes and secure best value.
• Create and manage purchase orders in the procurement system, ensuring accuracy and compliance with established contracts and policies.
• Monitor supplier performance for tactical buys, address and resolve issues related to order discrepancies, quality, and delivery.
• Maintain accurate and organized procurement records, including supplier information, quotes, purchase orders, and contract details.
• Identify opportunities for cost savings and process improvements within the tactical sourcing scope and contribute to their realization.
• Support the analysis of spend data to identify opportunities for consolidating purchases or improving terms.
• Ensure compliance with PPFA’s procurement policies, ethical standards, and any applicable regulations.

Tactical Sourcing Specialist

Manager

Support the management of the day-to-day operations of Telehealth services at PPMI.
Work in close partnership with Telehealth Manager, Telehealth providers, Telehealth Assistants and revenue cycle department to provide high quality, inclusive, patient-centered care.

Empowers staff to deliver assigned responsibilities and manage their functions.
Provides effective and engaging one-on-one training for Medical Assistants, utilizing evidence based approaches that center the adult learner.
In the absence of the Health Center Manager, provides direction and leadership to the Telehealth team ensures a high standard of customer service is maintained.
Utilizing observation audit tools and other methods, monitors and provides information to the Telehealth Manager on efficiency, quality of services, and patient experience; reviews electronic health records system for accuracy and completeness.
Continuously maintains professional growth and learning by attending conferences, seminars, etc.
Establishes and maintains a respectful and inclusive working environment, cultivating high levels of employee engagement and patient satisfaction.
Partners with Telehealth Manager to provide services to meet or exceed all goals; including revenue, net income, patient visit, productivity, and quality goals.
Ensures compliance with PPMI personnel policies and procedures, Planned Parenthood Federation of America (PPFA) protocol, and legal and regulatory compliance in Telehealth operations.
Manages Telehealth employee schedules, including licensed staff in coordination with clinical leaders.
Ensures that daily administrative procedures are completed correctly, including insurance billing, pre-clinic prep, payment verification, and in basket management.
Manages patient complaints or sensitive patient situations in a manner aligned with PPMI's In This Together values.
Collaborates and helps to identify training needs for staff and ensures appropriate ongoing training happens appropriately.
Ensures that all medical calls/questions are referred to appropriate medical personnel and that patient records are complete and without errors in our medical record systems.
Ensures effective and accurate use of the patient management and electronic health records system.

Sustains adequate coverage of Medical Assistant roles during clinic operation and serve as a resource for staff.

Associate Manager, Telehealth

• POSITION DESCRIPTION: The Administrative Manager Patient Care provides high-level administrative support to the leadership within the Patient Care Department; hybrid: on-site at least 1 day per week; commitment to race equity.
• Essential Functions: Administrative Support – Managing calendars, scheduling, organizing meetings, preparing documents, etc.
• Communication Liaison – Acting as a point of contact for internal and external stakeholders; newsletters.
• Meeting Coordination – Scheduling and preparing materials.
• Information Management – Records, CPR certification coordination, Title X reports, CAL completions, etc.
• Project Support – Data collection, analysis, reporting; PTO scheduling.
• Skills and Qualifications – Strong communication, organizational, problem-solving, Office software, discretion, healthcare knowledge.
• Educational Background – High school diploma or GED required; associate or bachelor’s degree advantageous.
