Operations

• This is a key site-facing operations role supporting the day-to-day running of OSF’s European offices.
• You will help keep essential workplace operations, facilities services, vendor relationships, and regional support processes running effectively across a complex global environment.
• Operations Officers work with the Associate Director of Operations to drive cohesion among geographically located staff (at a local level) and create ownership of operations issues across the localized geography.
• This role plays a vital role in enabling the development, implementation, and monitoring of day-to-day operations, processes, and practices to provide visibility into the goals, progress, and obstacles of key initiatives across the organization.
• The role also works in supporting cultural transformation initiatives across the geographies.
• Covering multiple offices in the region, the role serves as a back-up for the Associate Director in the same region and features as their partners in providing local knowledge and insights.

Operations Officer

• Oversee the project management of multi-departmental, global projects under Global Operations’ remit, ensuring consistent methodologies, tools, and reporting standards.
• Drive execution of high-impact, cross-functional projects from initiation to completion.
• Develop and maintain governance frameworks for project execution and decision-making.
• Monitor project health, risks, and dependencies, and escalate issues as needed to ensure timely delivery.
• Manage the meetings and events team, Data Officer, and Safety, Health, Environment, and Quality Officer’s workstreams.
• Partner with other ADs and their team members to ensure strategic and operational alignment across initiatives and geographies.
• Provide line management, guidance, and support to a team of four direct reports: two Meetings and Events Officers, the Data Officer, and the Safety, Health, Environment, and Quality Officer.

Associate Director, Global Operations

Events

• Help shape how OSF plans and delivers meetings and events across global offices and external venues.
• Guide colleagues through event workflows, support complex convenings, and help build consistent, practical event operations across the organisation.
• Provide specialist logistical and operational support for high-priority and complex events.
• Support the design of the meetings and events support framework, including the event lifecycle, workflows, policies, and roles and responsibilities of various internal and external stakeholders.
• Provide step-by-step guidance to the event organizers on the event planning and successful execution within the support framework.
• Maintain a set of supporting materials for the meetings and events support framework that are clearly organized and shared with the event organizers for ease of access and utilization.
• Manage relationships with hotels, event venues, and vendors in key operational cities.
• Support the Global Associate Director in improving event workflows and policies by proactively identifying operational gaps and recommending enhancements.

Meetings and Events Officer

Frontend Engineer

• Conduct code reviews of pull requests from your teammates and our community, identify and resolve technical issues, ensuring we maintain high coding standards.
• Collaborate closely with engineering, design, and product teams to develop our web applications for new features based on community feedback, product specifications, and requirements.
• Continuously improve our frontend codebase by elevating its quality, maintainability, and scalability, and actively participate in shaping frontend architecture and technical decisions to ensure long-term innovation and performance.
• Actively engage with our community by investigating and addressing user-reported issues, and prepare tasks that can be clearly defined and easily picked up by community contributors.

Administration

• Work in OGC’s Legal Support Team providing high level legal, executive, and administrative support tasks requiring discretion and confidentiality.
• Provide proactive administrative support to the Deputy General Counsel (based in Berlin, Germany), including complex calendar management, meeting coordination, travel arrangements, and expense reporting.
• Assist senior leaders and attorneys with administrative functions including but not limited to: coordinating schedules, planning complex stakeholder meetings/events, preparing materials, and arranging logistics.
• Perform legal tasks under supervision and follow compliance-related processes, requiring familiarity with legal vocabulary but not legal practitioner expertise.
• Provide general administrative support for the OGC including, contract administration, procurement processes, invoicing, department spend tracking, coordination of team meetings, scheduling, and assistance with travel and expenses, and other administrative duties.
• Build and establish relationships with other multi-regional operational departments within OSF.
• Take notes in meetings and supports project management as required.

Administration Officer

Program Manager

• The Program Manager will support OSF’s work on U.S. domestic policy issues.
• The Program Manager will have experience working with non-governmental organizations working on civic engagement, and experience working on a range of domestic policies.
• Collaborating closely with colleagues in related programs, and Communications, as well as relevant outside partners and US government officials, the PM will support the work of the US team advocating for OSF priorities in Congress.
• The Program Manager will serve as a primary day-to-day liaison with grantees and field partners working on civic engagement and domestic policy issues.
• The Program Manager will help coordinate and operationalize a portfolio of grants and complementary strategies—including policy advocacy, research, and field-building—under the direction of senior program staff.
• While not expected to lead overall strategy design, the Program Manager is expected to bring strong subject-matter knowledge and experience of civic engagement and advocacy and to translate strategic priorities into effective, well-coordinated program execution.

• Work alongside the Events Manager to plan and deliver a growing calendar of Open Home Foundation events, including support with logistics (end-to-end venue and vendor sourcing, travel and accommodation arrangements, signage, etc) and budget tracking.
• Support the Events Manager and Community Lead in identifying opportunities to involve community members, contributors, and partners in our events. Assist them in gathering and collecting feedback from attendees and contribute to both the development of our events’ identity and to the creation of a warm, inclusive and community-first environment.
• Support the planning and delivery (including technical set-up) of online community events including virtual meetups, live streams, AMAs, and panel sessions, as well as hybrid remote/in-person events.
• Work with the Community team to promote events across community channels including forums, Discord, social media, and newsletters. This will include event communication (save the date, registration pages) and event content (programs, speaker briefings).
• Maintain clear records of event activity, cost and outcomes. Track and report on key event metrics including attendance, engagement, satisfaction scores, and geographic reach.

Events Associate
