About the role
- Configure and maintain HubSpot to ensure every inbound lead is captured and tracked without gaps.
- Manage integrations between HubSpot and other tools (ads platforms, analytics, software) to ensure end-to-end tracking.
- Build, test, and optimize automated workflows for lead nurturing, follow-ups, and client communications.
- Develop and refine a lead scoring model to prioritize prospects for intake and sales.
- Maintain clean, deduplicated, and up-to-date records within HubSpot to ensure reliable reporting.
- Track funnel stages (inquiry → consultation → signed case) to identify bottlenecks and leakage.
- Quickly identify and resolve CRM or automation issues to ensure zero lead leakage and accurate reporting.
- Provide dashboards for leadership with CAC, conversion rates, lead volume, and performance; translate metrics into insights and regular reporting.
- Deliver actionable recommendations based on data trends to improve funnel efficiency and conversion.
- Continuously improve systems, identify and implement system enhancements to increase automation efficiency and reduce manual tasks.
- Collaborate with sales and marketing leaders to ensure workflows support operational needs.
- Train team members on HubSpot features and provide ongoing support to improve adoption, explaining technical processes to nontechnical team members.
- Ensure CRM processes comply with data privacy laws and internal firm policies.
- Contribute to development of firm SOPs related to marketing operations and HubSpot.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree in Marketing, Business, Data Analytics, or related field preferred (or equivalent work experience).
- 3–5 years of experience in marketing operations, CRM administration, or marketing analytics.
- Deep knowledge of HubSpot CRM, workflows, and automations.
- HubSpot certification(s) strongly preferred; other CRM experience a plus.
- Affinity to operational thinking and processes.
- Proven track record of building and maintaining efficient, reliable funnel operations and adjusting quickly to business priorities and/or system updates.
- Extreme attention to detail and ownership over responsibilities.
- Strong time management skills with the ability to manage multiple workflows, automations, and reporting cycles.
- Excellent communication skills.
- Ability to partner effectively with marketing and sales to achieve firm goals.
