Provide proactive administrative support to the Vice-president of Marketing, including calendar management, travel arrangements, coordination of internal and external engagements, and submitting expenses
Provide administrative support for 4 marketing directors, including travel arrangements and logistics coordination for meetings
Gather, compile, and report on information relevant to supervisor's assignment
Serve as a point of contact between the VP and internal teams, clients, and partners
Coordinate staff meetings: create agendas, minutes, and track actions
Assist in the preparation of department presentations, objectives, and other key materials for internal and external meetings
Lead or support coordination, planning and execution of marketing events, team offsites, leadership summits, or special events
Manage large-scale meeting logistics (secure room, A/V support, catering), pre-event material preparation, day-of meeting set up, contract/payment processing, and management of minutes
Track project timelines and deliverables, ensuring alignment with strategic priorities
Support onboarding of new team members and manage office needs and supplies
Use problem solving skills for process improvement in systems and processes
Less than 10% travel required to enhance collaboration and ensure successful completion of projects
Work onsite 4 days per week to foster professional growth and cross-functional collaboration
Requirements
High School Diploma or GED is required
Minimum of 10 years of relevant experience
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
Excellent written and verbal communication skills
Ability to manage multiple priorities in a fast-paced, dynamic environment
High level of work ethic, professionalism, discretion, and emotional intelligence
Team-oriented, collaborative style
Advanced interpersonal skills to collaborate with executives and other assistants
Interest in aligning business level communication to corporate brand
Event/large group meeting planning experience
Hands-on project management experience (use of planning tools, etc.)
Ability to work under pressure in a dynamic environment
Exercise high degree of maturity, discretion, and integrity; may handle sensitive and confidential information
Ability to travel less than 10% as needed
Work onsite 4 days per week (in-person exchanges emphasized)
Regular interaction with computer and peers; must be independently mobile (ADA considerations)
