About the role
- Provide support with clerical tasks and ensure corporate procedures are organized and timely.
- Make intro calls to new customers and collect required information; serve as contact point and provide install progress reports.
- Schedule install techs and arrange install times; moderate tasks in customer templates; collect customer phone numbers and Copy of Bill; port in new customer numbers.
- Send sales-dictated proposals; verify prospect address with USPS; confirm legal business names with SOS and DBA; check 401K database for EIN; create and send sales orders via DocuSign & Adobe ESign.
- Run customer portfolio reports and generate renewal lists.
- Verify new customer seat counts vs signed sales orders; process and maintain sales files; update sold list and FOC dates; create bill transactions for agent hours.
- Create invoices for Credit team and customers; create monthly memorized invoices; interact with finance banks; generate reports.
- Provide high level customer service; answer inbound phone calls and redirect; moderate customer support tickets; schedule customer appointments for moves, installs, repairs, training.
Requirements
- Prior office experience required.
- Minimum of 2 years of experience as an administrative assistant.
- Minimum of 2 years of experience demonstrating accurate data entry.
- Minimum of 1 year of experience utilizing QuickBooks, MS Word, Excel, Outlook, and the Internet.
- Minimum of 1 year of general administrative experience.
- Highly detail-oriented.
- Desire to promote Best Practices.
- Ability to handle multiple tasks and coordinate various assignments while maintaining poise and excellent customer service.
- Ability to be proactive and work independently.
- Strong organizational, time management, and communication skills.
- Strong math and/or accounting skills preferred.
