About the role

  • Lead, mentor, and manage a team of 3-5 Executive Assistants, ensuring high performance and professional growth
  • Provide administrative and executive support for Foundation leaders, including calendar management and travel coordination
  • Manage complex calendar and travel plans, book ground and air travel, hotels, and draft daily itineraries
  • Contribute to leadership meetings and offsites by producing materials, pre-reads, taking notes, and tracking action items
  • Triage inboxes and prioritize responses to customers, employees, investors, and other stakeholders
  • Track key project milestones and progress against personal, team, and company goals/targets
  • Establish and improve administrative systems and processes
  • Plan events, department celebrations, team off-sites, internal and after-hours events; manage budget and expenses as needed
  • Maintain partnerships with other Executive Operations members across Foundation and Gusto
  • Act as a cultural ambassador and liaison for the Foundation pod to support company culture and relationships

Requirements

  • 5+ years of administrative experience supporting one or more executives in a large or high-growth company
  • 2+ years of experience in a management or leadership role, specifically managing other Executive Assistants or administrative staff
  • Complete confidentiality on all business matters
  • Positive attitude and team player who stays calm under pressure
  • Strong scheduling and travel coordination skills; knowledgeable about organizing team events
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Incredibly organized and detail-oriented, able to prioritize multiple assignments
  • Proficiency with Google Apps (Gmail, Calendar, Drive, Docs, Sheets, etc.)
  • Bonus: Knowledge of process, project, and program management theory and practices
  • Bonus: Experience supporting leaders in the Foundation space
