About the role

  • Coordinate, document, gather and input data related to assigned administrative support duties for a team, department or branch leader.
  • Prepare and submit expense forms/reports; manage Purchasing Card (P-Card) and Corporate Travel Card reconciliations; process weekly check/cash deposits and respond to accounts payable inquiries.
  • Gather, compile and verify departmental information and enter into documents for reporting, including vendor/supplier payment documentation, HSE compliance/recordkeeping and recurring operational projects.
  • Complete incoming/outgoing mail requirements, manage courier services and postage machine maintenance; assist with office supplies stockroom management.
  • Perform associate office functions including preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
  • Support branch efficiency in logistics operations and report directly to the Branch Manager.

Requirements

  • Excellent customer service skills and the ability to effectively communicate in a positive and professional manner in person, over the phone and via email.
  • Detail-oriented with the ability to multi-task, take ownership and drive a project/task effectively and efficiently.
  • Proficiency in Microsoft applications; experience in document management and invoicing preferred.
  • Ability to prepare and submit expense forms/reports, manage Purchasing Card (P-Card) and Corporate Travel Card reconciliations, and process weekly check/cash deposits.
  • Experience responding to accounts payable inquiries and handling documentation for vendor, supplier and third-party payments.
  • Ability to gather, compile and verify information for reporting, including HSE compliance/recordkeeping and recurring operational projects.
  • Ability to manage incoming/outgoing mail, courier services, postage machine maintenance and assist with office supplies stockroom.
  • Ability to perform associate office functions: prepare correspondence, receive visitors, arrange conference calls and schedule meetings.
  • Must be able to work 100% onsite at the White Bear Lake branch.
  • High school diploma or certificate of completion of secondary education or equivalent experience; may require licensing for export controls or sanctions compliance.
  • Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.
  • Ability to work in an agile environment; will report directly to the Branch Manager.
