About the role

  • Conduct intake interviews with potential clients, collecting case details and necessary documentation
  • Serve as first point of contact, providing a welcoming and professional introduction to the firm
  • Assess viability of new client inquiries to determine alignment with the firm’s expertise
  • Accurately input client data, case notes, and documentation into the firm’s case management system
  • Schedule consultations and follow up on client inquiries to ensure efficient communication
  • Educate potential clients about the firm’s services
  • Maintain, organize, and manage all electronic client files, ensuring data is current, accurate, and properly stored
  • Implement and adhere to file retention policies, archiving and retrieving records as necessary
  • Ensure all documents are correctly uploaded, labeled, and accessible for team members
  • Conduct regular audits of the electronic filing system to maintain consistency and data integrity
  • Support staff in accessing and using the electronic filing system as needed

Requirements

  • 2+ years of experience in client intake in the legal field, administrative support, or file management
  • Prior legal experience working with U.S. law firms and/or within domestic legal settings
  • Bilingual (implied Spanish and English) and CV must be submitted in English
  • Strong interpersonal and communication skills; ability to handle sensitive client matters with professionalism and confidentiality
  • Proficiency with electronic filing systems and case management software
  • Excellent organizational skills, attention to detail, and ability to manage multiple tasks simultaneously
  • Ability to work independently and collaboratively in a team environment
  • Must be based in Colombia and available to work Monday–Friday, 10:00 AM–7:00 PM Colombia Time
  • Acceptance of live monitoring system during working hours as part of the role
  • May need a Bancolombia account or willingness to open one for payment processing
