About the role
- Manage complex and fast-moving calendars across multiple time zones for two Product VPs, including proactive scheduling, prioritization, and conflict resolution
- Partner closely with executives to focus their time on strategic priorities while maintaining visibility with key stakeholders
- Lead planning and execution of Product Org offsites, including logistics for domestic and international attendees, agenda design, vendor coordination, communications, and contingency planning
- Schedule and facilitate recurring team meetings, cross-functional syncs, and executive meetings with well-prepared agendas and follow-ups
- Serve as a key liaison between the VPs and stakeholders across Product, Engineering, GTM, and Executive Leadership
- Draft and refine communications, presentations, and meeting summaries that reflect executive voice and intent
- Track action items and ensure accountability across workstreams
- Plan and book complex travel itineraries across time zones with detailed day-by-day plans
- Submit and track expense reports; support budgeting and reconciliation for offsites or special projects
- Partner with other Executive Assistants to ensure consistency, coordination, and mutual support across leadership teams
- Support tracking and execution of product org goals (e.g., OKRs, planning cadences) and maintain accurate documentation across projects and schedules
Requirements
- 5–7+ years of experience supporting VP-level or above, ideally within product, engineering, or tech environments
- Demonstrated ability to plan and execute large-scale events or offsites, including coordination with international participants
- Strong experience supporting multiple leaders with competing demands across time zones and geographic regions
- Excellent collaboration skills and a team-first mindset—especially when partnering with other EAs or operational teams
- Advanced proficiency in Google Workspace, Zoom, Slack, and task management tools (e.g., Asana, Notion, Trello)
- A high degree of emotional intelligence, discretion, and business judgment
- Strong written and verbal communication skills with keen attention to detail
- Previous experience in a product-led or engineering-driven organization (preferred)
- Familiarity with planning cycles (e.g., OKRs, quarterly reviews) and leadership team operations (preferred)
- Bachelor's degree or equivalent experience (preferred)
