About the role

  • The ideal candidate is a seasoned and career-driven Senior Executive Assistant or Executive Business Partner with a passion for supporting high-level executives in a fast-paced, growing organization; this individual has superior attention to detail, exceptional organizational skills, and the ability to manage multiple high-priority requests with efficiency and discretion. They thrive in dynamic environments, working seamlessly with team members at all levels, often under pressure, while maintaining a high level of integrity, professionalism, and a positive attitude.
  • In this role, the Senior Executive Assistant will go beyond traditional administrative support by strategically enhancing the executive’s effectiveness. Key responsibilities include:
  • Strategic Relationship Management: Develop and implement tracking systems for the executive’s customer meetings, ensuring a structured approach to maintaining key relationships. This system will enable the executive to keep track of past interactions and plan future engagements effectively, particularly when traveling to various regions.
  • Cross-Functional Collaboration: Partner across all business functions to ensure the executive’s time is utilized to drive maximum impact. Proactively coordinate with stakeholders to align priorities, streamline workflows, and eliminate inefficiencies.
  • Leadership & Team Influence: Serve as a leader within the administrative team, setting a high standard for excellence and fostering a collaborative culture. This individual will need to balance gatekeeping responsibilities while ensuring accessibility to key stakeholders, facilitating productivity rather than creating roadblocks.
  • Seamless Executive Office Coordination: Work closely with the Executive Assistants supporting the co-founders, other senior leaders, and board admins to ensure seamless operations within the executive office. This includes anticipating needs, synchronizing schedules, and proactively solving challenges to maintain smooth day-to-day operations.
  • Problem-Solver: This role requires someone who is proactive, solutions-oriented, and deeply understands the importance of relationship-building. The ideal candidate is not just an administrative partner but a strategic force multiplier for the executive they support.

Requirements

  • 7+ years experience as an Executive Assistant in a high growth environment, prior experience supporting the CEO
  • Excellent verbal and written communication skills
  • Working knowledge of Google Suite, Netsuite, and major airline carrier’s platforms
  • Exhibits a strong work ethic, professionalism, confidentiality and good judgment
  • Incredibly organized and resourceful, able to juggle and multi-task with acute attention to detail and follow through
