About the role

  • Serve as strategic partner to the COO, anticipating needs and managing complex logistics to enable COO focus on mission
  • Manage the COO's complex calendar, balancing meetings, events, and essential work margins
  • Serve as the primary communication gateway, handling correspondence and appointments with discretion
  • Represent the COO in communications when appropriate
  • Act as a strategic liaison between the COO and internal/external ministry partners
  • Facilitate relationship management with the COO's direct reports
  • Coordinate and prepare for high-profile speaking engagements, including researching opportunities, managing logistics, preparing background materials, and coordinating with organizers
  • Support media interactions by preparing talking points, scheduling interviews, and managing related logistics
  • Plan and execute domestic and international travel arrangements
  • Coordinate internal meetings (monthly Operations team meetings, one-on-ones, annual strategy sessions, semi-annual all-staff retreats)
  • Manage regional events and interface with external contractors as needed
  • Develop and implement efficient documentation and administrative systems
  • Provide comprehensive meeting support through detailed notetaking and follow-up
  • Assist with special projects that advance the organization's strategic goals
  • Perform additional job-related duties as assigned

Requirements

  • Proven experience as an executive assistant or high-level administrator
  • High school diploma required; college degree preferred
  • Demonstrated proficiency with technology and emerging work tools
  • Strong alignment with CT's mission and Christian values
  • Exceptional verbal and written communication skills
  • Advanced planning and time management capabilities
  • Proficiency in office management systems and business procedures
  • Advanced technological skills, including calendar and communication apps
  • Emerging knowledge of AI tools to enhance workflow efficiency
  • Proactive and self-motivated with exceptional initiative
  • Meticulous attention to detail
