Payroll

• Manage appointment administration and assist with NPA form updates for Supervisors (SVs) and Program Directors (PDs), primarily during NPA locking periods.
• Run daily FLEX reports to identify billing corrections and payroll updates; send locking instructions to new staff.
• Send email and text reminders to staff regarding NPA or payroll needs.
• Support drive time, mileage, and lunch verification and ensure accurate entry.
• Maintain and update the Drive Time/Mileage (DT/M) tracker as corrections are made for graduation programs.
• Organize and maintain the Payroll Support Thread, ensuring bi-weekly reports and verifications are accurate to close and finalize payroll.
• Provide support during payroll processing, including scheduling support for payroll-related needs.
• Assist with ROI (Release of Information) and Change of Address follow-up with clinical staff.
• Prepare and track Parent Verification Forms (PVFs) for NBRC/CCS, organizing forms and following up with guardians.
• Update session locations based on Change of Address tracker.
• Assist in final overtime/mileage verification for payroll.
• Set up Parent Portal access as needed.
• Maintain and update the ABA email roster for monthly newsletters.
• Support termination verification, including following up on Staff Status updates for the NPA roster.
• Provide training support as needed.

Payroll & Data Verification Assistant

Customer Support

• Facilitate the client onboarding process, ensuring seamless transitions from referral to assessment while maintaining accurate and timely documentation.
• Serve as the face of BTS by providing outstanding customer service to new clients and families, guiding them through the intake process with empathy and clarity.
• Act as the central point of communication between families, insurance providers, authorization teams, and clinical staff to ensure alignment and timely service delivery.
• Contact new client referrals promptly, guide families through onboarding paperwork, and assist in gathering all required documents to ensure a smooth start of services.
• Work closely with insurance providers to obtain and track authorizations, minimizing delays in starting services.
• Conduct calls with families to gather information, provide updates, and support them throughout the onboarding process.
• Maintain accurate, organized, and up-to-date client records in compliance with regulatory standards.

• Support full-cycle sourcing and recruiting for BCBA, Behavior Technicians, ABA Supervisors, and other mental health roles.
• Proactively source/review candidates through platforms like Indeed, LinkedIn, ZipRecruiter, Handshake, and industry-specific job boards.
• Own and manage mass hiring campaigns to meet organizational growth needs, especially for Behavior Technicians.
• Manage outreach campaigns and candidate pipelines by sending targeted emails, follow-ups, and other communications to engage potential hires and maintain interest throughout the recruitment process.
• Represent Burnett Therapeutic Services at virtual job fairs, community events, and local outreach to high schools, colleges, and vocational programs.
• Identify and implement new, creative sourcing strategies to attract a diverse candidate pool.
• Conduct candidate outreach, screening, interviews, and extend job offers.
• Collaborate with the onboarding team to ensure a seamless and positive candidate experience.
• Maintain accurate records of recruiting activities, candidate pipelines, and hiring metrics.

• Provide legal guidance on California employment law matters, including discipline, termination, wage and hour compliance, and workplace investigations
• Manage and respond to employee and former employee claims, demand letters, administrative complaints, and litigation
• Develop and implement legal strategy to defend the organization against employment-related claims
• Conduct or support internal investigations related to employee complaints or allegations
• Advise leadership on legally sound personnel decisions and risk mitigation
