Support production team by managing schedules, issuing work orders and purchase orders, tracking acceptance, and coordinating change orders with accounting
Track project schedules and prepare draw projections
Acquire vendors and manage Buildertrend implementation for workflow efficiency
Manage pre-construction and post-construction tasks using Pre-Job Tracker, including ordering surveys, elevation certificates, and maps
Oversee fixture and flooring orders, returns, and shipments; update Buildertrend documentation and prepare project closeout paperwork
Coordinate client closing gifts and collaborate with accounting to finalize project closures
Maintain office supplies, answer calls, organize job files, upload builder files to Buildertrend, and ensure permit-stamped plans are signed and filed
Onboard new vendors and subcontractors with complete documentation and ensure understanding of purchase order system and payment schedules
Organize subcontractor, client, and employee appreciation events and luncheons
Requirements
2–4 years of experience with Buildertrend software
2–4 years’ experience as an administrative assistant or office manager in remodeling or home building
Detail-oriented, organized, and efficient
Excellent communication skills; professional and courteous
Strong follow-through and multitasking ability
