Program Manager

• Manage advocacy initiatives pertaining to the freedom to learn and academic freedom in higher education at the local, state, and national levels
• Manage and promote our national and state-based coalitions
• Develop strong professional relationships with leaders in higher education and the nonprofit sector
• Provide support for the advocacy of our state-based partners
• Plan and facilitate monthly meetings
• Ensure regular and responsive communications with coalition members and partners
• Coordinate action alerts and other campaigns to raise awareness of threats to academic freedom and free expression on college and university campuses
• Serve as a thought partner to the program director and collaborate with the Higher Education team and other colleagues to advance PEN America’s mission to safeguard free expression in the United States and abroad
• Draft, edit, and author reports, press releases and statements, action alerts, blogs, talking points, and other forms of internal and external communications
• Represent the organization and support outreach efforts through virtual and in-person presentations on higher education censorship to varied audiences, including colleges and universities, civil society and academic organizations
• Prepare presentation materials such as slide decks and one-pagers, and ensure effective follow-up communications and engagement, including circulating meeting notes to coalitions, as appropriate
• Contribute to the drafting of grant funding proposals and reports, and ensure grant deliverables are met and documented
• Provide support for intern recruitment, training, and management for the Higher Education team, as needed
• Perform other duties as assigned

Program Manager – Freedom to Learn

Events

• Manage logistical aspects of Authors’ Evenings, including liaising with authors, authors’ representatives, host donors, venues and other service providers; development, production, and distribution of all event-related materials; and tracking of event participation
• Identify and coordinate hosts and authors to maintain 20-30 annual Authors’ Evenings
• Achieve the fundraising goal of $150,000-$200,000 per year
• Prepare all Authors’ Evenings collateral and marketing materials, including invitations, programs, branding for solicitation materials, other print material as needed, electronic collateral, and updates to the website
• Ensure robust marketing of events to attain revenue goals, coordinate research, track revenue, and maintain budgets
• Represent PEN America and/or prepare representatives at events, as required
• Oversee the organization and lineup of literary hosts at the annual Literary Gala and coordinate the necessary logistical details
• Coordinate with event leads on tracking attendee responses, donations, journal ad submissions, and other administrative tasks related to the event
• Support the finance department with financial reconciliation of events, processing donations, and ensuring funds arrive in a timely manner
• Assist with Literary Gala logistics including creating event materials; updating event pages on the website; organizing co-chair and committee meetings and taking notes; preparing mailing lists; and assisting with travel needs for honorees and special guests
• Support with Young Patrons group administrative tasks, including assistance with Fall Fundraiser Event, Literary Gala Afterparty, and committee meetings
• Manage the tax acknowledgement process post-events

• Manage relations with the Board of Trustees, serving as the primary point of contact for all Trustees and Board-related matters
• Manage the Board calendar, including scheduling of Board and Committee meetings
• Plan and execute logistics of all Board of Trustees meetings and affiliated activities throughout the year
• Provide overall Board support including drafting agendas, presentation decks, reports, and maintaining Board resources
• Maintain corporate records, including Board meeting minutes and attendance records

Special Assistant, Board Relations

Communications

• Support Kronika’s English-language communications and public outreach strategy across editorial, digital, media, and public-facing channels
• Maintain and help shape Kronika’s English-language institutional voice, messaging, and public positioning across communications platforms and external materials
• Develop and manage partnerships with U.S.-based and international media organizations, NGOs, technologists, human rights organizations, universities, archives, and cultural institutions to amplify Kronika’s work and extend its reach, including convenings and public programs
• Actively cultivate relationships with journalists, editors, producers, writers, and public-facing partners in support of Kronika’s visibility and institutional positioning
• Secure and coordinate national and international media coverage for Kronika’s initiatives, archives, and public programming
• Represent Kronika at conferences, panels, festivals, convenings, and professional platforms in the United States and internationally
• Contribute to Kronika’s international communications and institutional positioning, including the development of materials for external audiences, partners, collaborators, and funders
• Support the production and coordination of Kronika’s English-language newsletters and editorial communications, including the organization’s Substack in partnership
• Draft, edit, and coordinate communications materials including press releases, newsletters, briefing documents, website copy, institutional statements, and promotional materials
• Coordinate relevant communications activities with PEN America and Bard communications procedures and institutional requirements
• Collaborate across departments to ensure coherence between archival, technical, research, communications, and public programming work

• Review and reconcile case records, contacts, intake forms, and activities in CiviCRM
• Create, update, and maintain case records in accordance with ARC's documentation and case management procedures
• Process and organize webform submissions, intake forms, and incoming requests
• Identify duplicate records, data inconsistencies, and documentation gaps, and support ongoing data quality improvement efforts
• Ensure demographic, geographic, and case-related information is accurately entered, coded, and maintained
• Support case tracking, workflow management, and reporting processes within CiviCRM
• Prepare data summaries, inventories, and workflow tracking reports to support program management and decision-making
• Flag records that may require staff review, additional documentation, follow-up, quality review, and document issues for ARC staff as appropriate
• Collaborate with ARC staff and consultants to support effective case management and information sharing
• Maintain strict confidentiality, data protection, and information security standards when handling sensitive information
