Accounts Payable Assistant

Compliance

• Maintain and regularly update compliance databases, trackers, registers and filing systems, ensuring accuracy, accessibility and version control at all times.
• Own the day-to-day document control process, ensuring policies, procedures, forms and records are correctly issued, version-controlled and archived in line with IMS requirements.
• Maintain organised and secure electronic filing systems in line with UK GDPR, data protection obligations and company confidentiality standards.
• Ensure document filing and record updates are completed accurately and in a timely manner, maintaining consistency across all compliance systems.
• Own the production of accurate meeting minutes and action logs for compliance meetings and distributing these promptly to all attendees.
• Provide general administrative support to the Compliance Team as required.
• Assist with the preparation of compliance presentations, communications and reports as required.
• Support the Compliance Team with meeting logistics, room bookings and document circulation.
• Conduct compliance inductions for new starters, ensuring the content is current and records are accurately maintained and filed.
• Support the scheduling and logistics of compliance training events as directed by the Compliance Team.
• Maintain certification and accreditation records.
• Assist with the collation of documentation required for certification renewals and external audits as required.
• Carry out day-to-day administrative duties and any other tasks reasonably required to support the effective operation of the Compliance Division.
• Handle all compliance-related information with discretion and in accordance with AVK’s data protection and confidentiality policies.

• Develop procurement strategies and negotiate subcontractor and supplier agreements.
• Support project delivery teams with value engineering and commercial advice.
• Build strong client and stakeholder relationships and act as the commercial lead.
• Identify and mitigate commercial risks while maximising opportunities.
• Lead, mentor, and develop a team of Quantity Surveyors, including line management responsibilities.

Commercial Manager

• Review and approve contract terms and manage commercial correspondence work with legal counsel where required.
• Attend site meetings for contractual discussions and advise on the project issues.
• Valuing variations and monitoring project performance.
• Interpret project documentation to identify opportunities and risks.
• Prepare monthly reports including JCR's (Job Costing Reports) and place orders in timely manner for procurement.
• Demonstrate expertise in dispute resolution and risk management.
• Assist in improving supply chain on conducting commercial audits.
• Produce cash flows and ensure correct notices are issued as per contracts in place.

• Actively participate in tender, kick off, mid bid and final sign off meetings
• Prepare RFQs for the supply chain
• Prepare support quantity take-offs and measurement exercises
• Accurately level supply chain bids both technically and commercially
• Prepare cost estimates and tender documentation for projects
• Develop accurate cashflow forecasts for each tender
• Ensure timely delivery of assigned estimating tasks within project deadlines
• Flag risks and issues to senior team members
• Maintain and organise cost databases and benchmarking data
• Participate in contractor and supply chain meetings to gather pricing intelligence
