About the role

  • Administers Arrive’s employee benefits programs, including medical, dental, vision, life insurance, supplemental programs, wellness initiatives, and the 401(k) plan.
  • Responsible for all aspects of various benefits program management including daily administration, funding timeliness, reporting, auditing and corrections, and a focus on continuous improvement in the employee experience, while remaining compliant.
  • Responsible for Workday reporting, business processes, SOP creation and testing in new build outs within the system, partnering closely with HRIS.
  • Resolves employee questions by interpreting benefit policies and procedures, while providing best in class employee experience with timely responses and implementing new efficient processes as needed.
  • Manages PTO policies, with oversight of the benefits manager, as well as answering employee and manager questions regarding PTO, wellness, and holidays.
  • Assists in coordinating the enrollment process for new hires, employees experiencing life events, and existing employees during open enrollment periods, including the accuracy of enrollments and changes, explaining plan options, assisting with selections, creating and delivering communication materials, and setting up on-site employee meetings and educational webinars.
  • Ownership of understanding our employee population in all departments to improve our team’s communication in order to help our employees better understand our benefits offerings.
  • Facilitates and provides comprehensive benefits information and education to new hires during their onboarding process.
  • Ownership of general system upkeep, including collaborating with the HRIS team on Workday setups and testing, auditing of external systems, accurate data entry across all systems, manual uploads as needed, weekly vendor file integrations, and troubleshooting and correcting any errors.
  • Responds to benefits inquiries from managers and employees on plan provisions, eligibility, benefits enrollments, status changes and other general inquiries, with a focus on employee experience and timeliness of responses.
  • Partners closely with Mexico generalists to answer benefits questions and prepare onboarding materials as needed, as well as be the main point of contact for our Canada and Expat employees, with oversight from the benefits manager.
  • Research as needed to ensure compliance across all benefits programs and policies to applicable federal and state laws, including ERISA, COBRA, and ACA. Partner with the Benefits Manager to implement changes as needed to remain compliant.
  • Partners with our benefits broker and benefits manager to complete non-discrimination testing annually.
  • Handles self-bill invoices on time for select carriers.
  • Partners with our HR Operations team to ensure that every process is documented, kept up-to-date, and stored in a central location. Implements SOP updates to improve efficiency as needed. Responsible for training on our SOPs for colleagues as needed.
  • Partners with our benefits broker and benefits manager to keep our employee and candidate facing benefits portals up-to-date with employee experience at top of mind.
  • Brings ideas to the table to implement on-site benefits at each of our locations, partnering with HR Generalists and local leadership to execute on-site, while maintaining a consistent employee experience across our offices.
  • Manages all on-site benefits programs at our Austin HQ.
  • Oversees our gym memberships across all locations.
  • Organization and storage of PHI & PII while maintaining HIPAA compliance.
  • Handles workers comp claims as they arise.
  • Cross-training with the Leave of Absence Specialist and ability to step in as a backup to handle leaves and ADA requests on an as needed basis.

Requirements

  • Bachelor’s degree in Human Resources or related field of study.
  • 2+ years of experience in HR benefits administration.
  • Strong understanding of employee benefits laws and regulations.
  • Excellent communication and interpersonal skills and the ability to explain complex benefits information to employees.
  • Strong analytical skills and ability to interpret and analyze data.
  • Detail orientated with the ability to manage multiple tasks and deadlines.
  • Updates job knowledge by participating in educational opportunities and webinars, and reading professional publications.
  • Ability to conduct themselves with a high level of discretion.
  • Proficient with Workday and Microsoft Office Suite or similar software.
