Executive Assistant

• Providing comprehensive administrative support for the President, AWC Global Portfolio of the Medical Surgical business
• Supporting and proactively anticipating work needs of the AWC Global Portfolio leadership team
• Scheduling and supporting on- and off-site meetings, video conferences and teleconferences, and making necessary arrangements to set-up meeting space
• Creating and/or compiling meeting materials including agendas, pre-read material, presentations, surveys, and meeting summaries. Briefing on items for consideration.
• Supporting organization employee engagement activities
• Direct interaction with executive-level customers, and Health Care professionals on behalf of the business.
• Interpreting and administering corporate policies and procedures
• Performing administrative duties such as coordinating travel, managing calendars, reviewing and routing incoming correspondence, database management, expense reporting, tracking and monitoring budgets, and preparing reports
• Suggesting and implementing improvements to office and department procedures, methods, and quality goals
• Managing confidential, sensitive and restricted business information, and supporting executive level professionals
• Other duties as assigned by leader

• Provides a broad variety of administrative and staff support services for an assigned group or manager
• Collects and interprets data to produce reports
• Conducts special projects
• Coordinates meetings, conferences, presentations and travel arrangements
• Composes correspondence and other documentation as needed
• Frequently uses personal computer software packages for word processing, graphics, spread sheets, etc.

• Schedule and coordinate all board and committee meetings (virtual and in-person).
• Prepare and distribute agendas, materials, and meeting packets in collaboration with the CEO and Board Chair.
• Record, finalize, and archive meeting minutes accurately and confidentially.
• Maintain up-to-date board records, governance documents, and directories.
• Support the annual governance calendar, including policy renewals, disclosures, and board evaluations.
• Facilitate communication between board members, committees, and executive leadership.
• Assist with onboarding of new board members.
• Coordinate logistics for annual board retreats and special governance events.
• Assist the Executive Team with confidential administrative tasks, including filing, record-keeping, and data entry.
• Handle sensitive employee documentation, correspondence, and reports with professionalism and discretion.
• Support organizational compliance efforts by assisting with audits, policy updates, and required documentation tracking.
• Provide scheduling, correspondence, and logistical support for the Executive Team.
• Manage organization wide travel booking.
• Support collection of mail and bank deposits.
• Assist with the preparation of reports and presentations for executive leadership and board meetings.
• Other duties as requested.

Executive Assistant – Board Liaison

• Provide comprehensive administrative and staff support to the National Director of Healthcare Business Banking, supporting day-to-day operations and longer-term business priorities
• Manage complex calendars, meetings, conferences, and presentations involving senior leaders, internal partners, and external stakeholders
• Coordinate domestic travel arrangements, logistics, and expense reporting with accuracy and attention to detail
• Draft, edit, and format correspondence, reports, and presentation materials to a high professional standard
• Collect, interpret, and organize information and data to support reporting, business reviews, and special initiatives
• Support special projects that require coordination across multiple stakeholders, exercising sound judgment and follow-through
• Anticipate leadership needs, identify potential issues, and resolve routine matters independently to enhance executive effectiveness
• Handle confidential and sensitive information with discretion, professionalism, and integrity
• Serve as a reliable point of coordination across the Healthcare Business Banking leadership team and broader organization, adapting priorities as needed while maintaining accuracy and composure

Healthcare Business Banking Executive Assistant

• Providing administrative support for one or more Sr. Vice Presidents/VP & Directors
• Scheduling and supporting on- and off-site meetings, video conferences and teleconferences
• Creating and/or compiling meeting materials including agendas, pre-read material, presentations, surveys and meeting summaries
• Interpreting and administering corporate policies and procedures
• Performing administrative duties such as coordinating travel, managing calendars, reviewing and routing incoming correspondence, database management, tracking and monitoring budgets, preparing reports

• Creating and/or compiling meeting materials including agendas, pre-read material, presentations, surveys, and meeting summaries. Briefing on items for consideration.
• Supporting organization employee engagement activities
• Supporting governance of marketing and corporate policies by maintaining documentation, updating playbooks, and helping ensure teams adhere to established workflows and standards
• Performing administrative duties such as coordinating travel, managing calendars, reviewing and routing incoming correspondence, database management, expense reporting, tracking and monitoring budgets, and preparing reports
• Suggesting and implementing improvements to office and department procedures, methods, and quality goals

• Providing administrative project support for major marketing initiatives (e.g., VOC programs, product launches, and marketing campaigns) by organizing timelines, managing logistics, and coordinating activities for successful execution
• Facilitating communication flow across the IPSS global marketing teams by organizing touchpoints, circulating updates, and ensuring leadership has timely access to information for decision‑making
