ILS Specialist II – Technical Writer

Systems Engineer

• Maintains operational excellence of Seaspan’s live business systems.
• Provides end-user support and identifies trends for recurring application issues.
• Analyzes information and utilizes documentation to find solutions.
• Produces incident reports and troubleshooting knowledge articles.
• Provides emergency production support and liaises with end users and IT teams.
• Assists peers with planning and supporting larger projects.
• Executes test scripts for UAT and supports testers/end users.

Systems Analyst I

Payroll

• Oversee the accurate and timely processing of complex, full-cycle bi-weekly payrolls, including regular payroll, adjustments, retroactive payments, and off-cycle payments.
• Ensure payroll operations comply with legislation, collective agreements, company policies, and regulatory requirements.
• Review payroll reconciliations, audits, and reporting to ensure payroll accuracy and compliance.
• Monitor payroll workflows and deadlines to ensure service levels and operational requirements are consistently met.
• Support payroll year-end activities, including T4s, reconciliations, statutory reporting, and audits.
• Resolve queries from internal or external customers by providing information on complex processes and related policies.
• Provide leadership, coaching, training, and performance support to payroll team members.

Payroll Supervisor

Systems Analyst II

Billing Specialist

• Assist with the timely invoicing of National Shipbuilding Strategy (NSS) programs by validating costs and the preparation of applicable backup
• Support with the ESS time-keeping input for both hourly and salary employees
• Prepare and maintain detailed backup documentation for NSS-related invoices in accordance with contractual requirements and internal billing guidelines
• Verify and validate cost transaction data extracted from multiple source systems, including timekeeping applications, JD Edwards EnterpriseOne (JDE), SAP BI reports, and other financial systems
• Compile, assemble, and maintain cost databases and supporting documentation by consolidating data from various operational and financial sources
• Perform reconciliations, investigate variances, and resolve data discrepancies to ensure the accuracy and completeness of customer invoices
• Collaborate closely with operational, payroll, and finance teams to obtain, clarify, and validate invoicing and cost-related information
• Support adherence to internal policies, controls, and audit requirements related to billing, project costing, and financial reporting
• Assist with ongoing process improvements, particularly during ERP system transitions and enhancement

Billing Specialist III

• Process payroll and all payroll-related tasks including timecards, adjustments, ROEs, benefits and remittances
• Support reconciliations by reviewing payroll balances and GL accounts, investigating discrepancies, and assisting with accurate and timely tax remittances
• Supports business process decisions for the payroll project, including both business process design and technology design considerations which impact process
• Contributes to decisions associated with process, workflow approvals, and dependencies associated with other functions
• Responsible for designing an end-to-end HR process, taking into account relevant Seaspan system and policy requirements and limitations and applicable laws and regulations
• Works closely with their system integrator counterpart on the design, development, and implementation of the solution and key deliverables
• Verifies that the proposed design satisfies business requirements
• Assists in the finalization of test scenarios and testing itself
• Reviews data from E1 to HCM, and oversees updates made to content
• Coordinates and integrates institutional knowledge, provides input to the system integrator team regarding technical architecture, configuration, RICF objects, security, system administration features, peripheral systems
