Accounts Receivable

• Performs medical billing and accounts receivable functions
• Assists other accounting staff with their duties and responsibilities
• Billing for Residential and/or Community Services as assigned
• Prepares and bills for residential client services in accordance with funding sources parameters
• Maintains financial data, including 3rd party insurance and special arrangement billings
• Processes and sends claims weekly
• Assembles and maintains client billing files in an efficient and organized manner
• Investigates and resolves open AR items
• Prepares list of monthly write offs and sends to departments for approval
• Generates bad debt write-offs, as appropriate
• Sends claims to collections and generates bad debt write-offs, as appropriate
• Distributes monthly client statements
• Manages patient phone calls and email
• Assists team members as needed
• Cross trains and serves as back up for AR/billing functions as needed

Accounts Receivable Specialist

Analyst

• Design and oversee the implementation of early intensive behavioral intervention programming for young children with autism spectrum disorders.
• Train, lead, supervise, and mentor RBTs and BCaBAs.
• Train parents, educators, and other stakeholders on client programming and behavioral principles.
• Consult and collaborate with schools, daycares, medical professionals, and other disciplines.
• Coordinate with the Department Assistant to ensure smooth operation of ACCD business (e.g., parent arrival, staff issues, scheduling).
• Exercise discretion and independent judgment in the management of client services and supervision of treatment team according to ACCD policies.
• Handle treatment team complaints and grievances.
• Work cooperatively with the Human Resources department in staff hiring, participating in interviews, as needed.
• Maintain minimum billable client treatment requirements.
• Maintain privacy and confidentiality according to HIPAA regulations and ACCD policies.
• Responsible for tracking and monitoring utilization and outcome data, including quarterly reporting for the all agency report card.
• Responsible for timely Quality Assurance compliance as related to employees roles and functions.
• Keep informed of current and potential community program developments and activities.
• Utilize educational opportunities and resources offered by the agency and through the profession for continued development of skills and clinical expertise.
• Use the knowledge and skills of his/her supervisor to increase understanding of treatment programming and leadership skills to further professional development.
• Participate in required trainings.
• Maintain current BCAB certification.
• Other duties as assigned.

Board Certified Behavior Analyst – Early Intervention Center-Based

Administrative Assistant

• Greet clients/visitors checking in at the front desk at the Bouma Counseling Center.
• Support clients through the check-in process for both counseling and psychiatry appointments (updating client demographic information, collecting payments, obtaining client/guardian signatures on unsigned intake and annual forms and other unsigned documents).
• Ensure the office environment is maintained in a professional, clean, and organized manner.
• Schedule initial appointments, follow-up appointments and call families to reschedule appointments for counseling.
• Promptly responding to all referrals and requests for services and monitoring the follow up queue daily for the consistent scheduling of intakes.
• Review and confirm insurance eligibility, benefits and out of pocket responsibilities, copays, and deductibles.
• Answer telephone calls coming into the office; forward calls to the appropriate party; record and distribute messages as needed; retrieve voicemail messages and respond as needed.
• Promptly respond to internal and external communication and requests, providing information about our programs and services offered.
• Ensure the highest level of customer service is provided to clients, addressing inquiries, scheduling appointments, processing records requests, and resolving issues efficiently while maintaining confidentiality and compliance with HIPAA and other regulatory standards.
• Send routine and customized letters to clients.
• Process faxes for the department and monitor all incoming faxes, routing to the appropriate party as needed.
• Complete administrative duties assigned by supervisor for various community program supervisors, including, but not limited to, data entry, phone calls, preparing treatment/marketing materials, etc.
• Maintain all counseling records for clients including the filing of documents within the EMR and timely recording of external records.
• Maintain accurate caseloads for clinicians, updating for intakes, discharges, and changes to utilization of services.
• Complete daily mail runs for the department.
• Regular participation in supervision meetings and team meetings for the sharing of ideas, feedback, and department planning.
• Set up interpreter services for families as needed.
• Other duties as assigned.
