About the role
- Design, coordinate, and execute virtual and in-person events that foster engagement among students, alumni, faculty, and community stakeholders.
- Coordinate and deliver virtual and in-person events—including community engagement campaigns, commencement ceremonies, and marketing initiatives—ensuring alignment with institutional goals and seamless experience for attendees.
- Lead planning committees, particularly for Marketing-led events, and collaborate with internal teams to manage logistics, timelines, and execution.
- Oversee assigned event budgets, ensuring cost-effective planning and execution while maintaining high-quality standards.
- Partner with internal teams such as Communications, Creative, and the Event Manager to align event strategies with broader marketing and institutional objectives.
- Research and coordinate with venues and vendors; manage logistics including A/V setup, catering, transportation, accommodations, and on-site support.
- Plan and execute events tied to philanthropic and institutional initiatives, including day-of event support and logistics.
- Create and maintain detailed event briefs, timelines, and communication plans; provide regular updates to the Event Manager and marketing leadership.
- Contribute to development and pitching of new event concepts that enhance marketing campaigns and stakeholder engagement.
- Proactively identify and resolve issues before and during events to ensure smooth execution and positive attendee experiences.
- Perform other duties as assigned.
Requirements
- Bachelor's degree or equivalent combination of education and experience.
- 2 years of experience in event production.
- Proficient in MS Office (Word, Excel, PowerPoint) and other business tools such as Microsoft Teams.
- Understanding of event marketing best practices.
- Experience with reporting and analysis (Excel dashboards, Google Analytics).
- Ability to support campaign tracking and measurement of return for marketing initiatives.
- Demonstrate healthy and strong interpersonal and customer service skills.
- Demonstrate problem-solving skills for triage of complicated business logic.
- Ability to professionally communicate fluently in verbal and written English.
- Ability to contribute to a diverse and inclusive work environment.
- Computer literacy/basic computer skills to effectively navigate and utilize the technology required for the role.
- Preferred: Bachelor's degree in marketing, business, communications, or hospitality field.
- Preferred: 5 years of experience in event related field with demonstrated proficiency.
- Preferred: Experience with Monday.com or other project management software.
- Preferred: Exceptional planning and organizational abilities to manage multiple tasks and deadlines effectively.
- Preferred: Ability to work nights and weekend days when necessary for event support.
- Preferred: Local to the Tampa Bay area for in-person event support, venue tours, onsite preparations, etc.
- Compliance: Knowledge of applicable state and federal compliance requirements and ability to escalate compliance concerns.
