Manage administrative aspects of multiple rail signalling projects.
Support project managers by preparing and updating project documentation, registers, and logs.
Coordinate information flow between internal teams, clients, and external stakeholders.
Schedule meetings, prepare agendas, record accurate meeting minutes, and ensure timely follow-up on action items.
Assist with manual administrative tasks during the transition to new project management systems.
Provide general administrative support to senior and junior project managers as required.
Undertake other project-specific duties as needed.
Maintain effective document control processes using Aconex and other tools, ensuring version control and proper filing of all project documents.
Populate and format proposals, monthly reports, and other project documentation to a high professional standard.
Help maintain issues and RFI registers, ensuring they are kept accurate and up to date.
Support the setup of a tenders filing repository to improve efficiency for future submissions.
Monitor and maintain spreadsheets to track project progress, deadlines, and deliverables.
Assist with timesheet population and reporting for billing purposes.
Requirements
Bachelor’s degree in Business Administration, Project Management, Engineering, or a related discipline.
Minimum 5 years of experience in a project administration or similar administrative role, preferably within rail systems, engineering, or construction industries.
Strong proficiency in spreadsheets (Excel or equivalent) and document formatting (Word, PDF tools, etc.).
Experience with document control processes and systems (e.g., Aconex).
Excellent attention to detail and organisational skills.
Strong written and verbal communication skills.
Ability to manage multiple tasks and priorities in a fast-paced project environment.
Flexibility to adapt to new systems and assist with manual work during system transitions.
Ability to work effectively as part of a multidisciplinary project team.
