About the role
- Collaborate with Project Management & Departments Leads to create and assign staffing plans, ensuring alignment with project budgets and deliverables.
- Monitor and forecast FTE and freelance staffing needs, as well as team and individual utilization.
- Conduct regular capacity reviews to proactively identify resource shortages or surpluses.
- Partner with Resourcing teams to support cross-functional collaboration and facilitate shared resourcing solutions across groups.
- Understand skills, experience and interests of resources to inform thoughtful staffing plans.
- Contribute to Resourcing team meetings and ensure accurate maintenance of resourcing data in project management systems.
- Identify and resolve scheduling conflicts and other resourcing challenges.
- Recommend solutions to optimize team capacity, such as adjusting workloads, hiring freelance talent, or collaborating with Talent Acquisition for new hires.
- Oversee freelancer onboarding and partner with Talent Acquisition to source candidates.
- Support the onboarding of new hires.
- Build positive relationships with the Talent Acquisition team to help identify and prioritize recruiting efforts.
- Partner with Operations and Talent Acquisition to maintain freelance database with up-to-date contact info, rates, availability, and creative feedback notes.
- Document and help improve the team’s Resource Management processes and workflows.
- Partner on the implementation of Resource Management tools and best practices.
- Help enforce proper timesheet compliance and maintain employee time-off calendar.
- Additional resourcing duties as assigned by the Vice President of Studio Operations.
Requirements
- 5+ years of relevant work experience preferred.
- Ad agency experience required.
- Solid understanding of the digital/advertising project lifecycle and the roles and functions within an agency environment.
- Able to handle multiple projects under tight deadlines; organized, detail-oriented and friendly.
- Ability to deal with ambiguity and suggest solutions to short and long term challenges.
- Flexible, responsive, and capable to think on their feet.
- Proactive approach to problem-solving with strong decision-making skills.
- Strong relationship management, influencing, and conflict resolution skills.
- Excellent organizational and planning skills, as well as strong written and verbal communication.
- Strong computer skills and understanding of latest OSX operating systems, including Microsoft proficiencies in Excel, Outlook, and Teams.
- Airtable experience a plus.
