Operations

• Develop and execute a long-term operational strategy for club and member support aligned with company goals
• Build and scale a best-in-class customer care function that adapts to evolving member expectations and business needs
• Partner with senior leadership to align club and member support with education, districts, and marketing initiatives
• Report on departmental updates and projects to executives and Board of Directors
• Collaborate across staff levels and cross-functionally to solve problems and implement improvements
• Foster an environment of accountability, continuous improvement, and member-first mindset
• Lead, mentor, and grow a high-performing team of customer care managers and frontline agents
• Deliver against company goals and KPIs and set/monitor KPIs including CSAT, NPS, FCR, AHT, and SLA adherence

• Champion and evaluate customer care technology (CRM systems, IVR, AI-powered chat, self-service portals, automation tools)
• Leverage data analytics to inform decisions, predict trends, and personalize support

• Maintain and support improvements to the LMS, including troubleshooting and resolving issues
• Report bugs and unexpected behavior to vendor support and follow up until resolution
• Develop relationships with vendor customer support and establish feedback/escalation processes
• Serve as a bridge between Education and IT for technical configuration and system communication
• Support ongoing LMS improvements through requirements gathering, implementation, and testing
• Maintain LMS content by uploading files and making small adjustments as needed
• Train and support team members across the organization in use of the LMS
• Create and maintain internal business processes and documentation related to LMS use and protocols
• Maintain records of admin access tiers, permissions, and content update history for audits and reference
• Develop and oversee product review process and timeline; coordinate content reviews and updates with Graphic Design, Instructional Designers, and Subject Matter Experts
• Coordinate the team’s file management system to ensure updated files are stored and old files archived
• Maintain product inventory and an in-depth understanding of all Education products
• Review quotes and usage to recommend quote approvals and ensure product/pricing updates
• Participate in meetings with IT and liaise with other departments to represent education program enhancements
• Communicate changes to the education program throughout the organization
• Complete additional tasks as assigned by the Education Development Manager
• Reports to the Education Development Manager and works independently and as part of a team in a collaborative environment

Learning Content and Systems Administrator

Accounts Payable

• Code, verify, audit and process invoices and POs for accuracy, completeness and compliance with internal controls and procedures
• Receive, process, and voucher accounts payable documents into the accounting system
• Daily processing of ACH’s and wire payments into the accounting system
• Occasional processing of checks
• Create purchase orders for the procurement of materials/products/services
• Match receiving records to authorized purchase orders and review accuracy of charges
• Review open purchase orders and resolve with purchasing agent/buyer
• Filing/scanning of all accounts payable and purchase order documents
• Maintain accurate vendor files
• Ensure accurate GL coding by auditing accounts payable transactions
• Manage accounts payable and purchasing email boxes
• Perform accounts payable & purchasing related account analysis and reconciliation
• Prepare month end accruals
• Support with year-end audit requests
• Preparation and submission of 1099’s annually
• Support other team members as needed
• Other projects and duties as assigned
• Backup for audit/review & process of Concur expense activity

Accounts Payable Purchasing Specialist

Accountant

• Prepare the monthly work papers to support each District’s financial statements
• Record journal entries to supplement the cash transactions recorded by the District Finance Manager
• Compare documents against recorded accounting transactions to substantiate adequate support
• Follow up with District leaders to ensure they are completing their financial requirements on a timely basis as required by policy
• Maintain the District dashboards and ensure they are kept up-to-date to reflect the real-time status of all District Finance requirements
• Review and complete internal financial requests to support additional teams within Toastmasters International
• Answer telephone and emails related to company policies, District accounting system training and procedures, assisting District leaders with AP and AR entries, bank reconciliations, and other miscellaneous topics
• Potential for travel to assist with in-person trainings
• Partner with departments internally to assist in the development of new trainings, policies or procedures, systems related to District Finance
