About the role
- Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements
- Prepare and process expense reports, vendor contracts, and other administrative documentation
- Draft and organize communications, agendas, presentations, and minutes
- Screen and prioritize incoming communications, calls, and meeting requests
- Maintain confidential records and sensitive information with discretion and professionalism
- Coordinate meetings and events, including space, catering, and audio/visual needs
- Support onboarding/offboarding processes and liaise with IT and facilities
- Collaborate across teams and with external partners on key initiatives
- Assist with special projects, research, and reporting
- Provide backup support and contribute to team engagement efforts
Requirements
- 3+ years of experience in an administrative or executive assistant role supporting senior executives
- Trusted with handling confidential information with discretion
- Excellent time management and organizational skills; adept at multitasking and meeting deadlines
- Exceptional written and verbal communication skills
- Ability to identify opportunities to enhance efficiency, solve problems, anticipate needs, and create magical moments for those you support
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, Zoom, Teams, and other collaboration tools
- Able to work independently and as part of a team in a fast-paced setting
- High level of professionalism and interpersonal skills
- Sound judgment and decision-making in dynamic environments
- Bachelor’s degree or equivalent experience (preferred)
- Experience supporting executives in a corporate or studio environment (preferred)
- Familiarity with Workday, Concur, SharePoint, and other enterprise systems (preferred)
- Prior experience at The Walt Disney Company or similar large public corporation (preferred)
