Payroll

• Own and process all Sandbox client payrolls (6–7 recurring payrolls and growing), ensuring accurate, timely runs across multiple states.
• Serve as the internal payroll, compliance, and tax administration subject-matter expert.
• Ensure clients remain compliant with state registrations, employment laws, tax filings, year-end reporting, and workers’ comp audits.
• Handle payroll-related tax admin, including state/local registrations, notices, follow-ups, quarterly filings coordination, and issue resolution.
• Support benefits administration, including enrollments, life-change events, plan comparisons, employee questions, and coordinating with brokers—especially during open enrollment.
• Help clients build and maintain compensation programs, including organizing pay bands, supporting comp review cycles, preparing benchmarking data, and assisting with bonus or incentive program setup.
• Maintain up-to-date policies, handbooks, compliance documentation, and support client HR audits or multi-state requirements.
• Provide support for performance management cycles, including scheduling, templates, feedback tracking, and documentation.
• Deliver a consistent, organized onboarding and offboarding experience, ensuring documentation, checklists, and transitions run smoothly.
• Act as the team’s HRIS specialist, maintaining and optimizing systems (ideally beyond Gusto), ensuring workflows function smoothly, and supporting client system setup or cleanup.
• Draft, edit, and maintain key HR documents, including policies, handbooks, internal playbooks, and scalable templates.
• Produce clean, accurate documentation for client deliverables: workflow maps, process documentation, audits, reports, and quality checks.
• Support general People Ops tasks as needed (performance cycles, light employee relations support, leave management, and other recurring HR workflows).

Associate, People Operations – Payroll

Operations

• Own daily operational flow by providing the partners with key meetings, priorities, blockers, and financial updates that enable decision-making.
• Manage partner scheduling and calendars with foresight — anticipating and communicating conflicts, optimizing time, and protecting focus.
• Ensure client proposals are prepared, reviewed, and delivered within 24 hours, supporting Sandbox’s responsiveness and reputation.
• Own the client onboarding process from kickoff scheduling through setup, ensuring a seamless and professional start to every engagement.
• Act as the central communicator for company-wide announcements and updates.
• Keep finance and business development documentation accurate, current, and actionable; monitor cash and collections daily.
• Quickly triage and resolve ad-hoc requests with accuracy and ownership.
• Weekly ensure employee hours are accurately recorded in Harvest and proactively address any gaps or issues.
• Track and update all business development leads in Nutshell, ensuring leadership has an accurate view of the pipeline.
• Reconcile invoices and expenses in QuickBooks, flagging irregularities and ensuring financial integrity.
• Own the collections process by managing follow-ups and reporting progress weekly.
• Deliver a concise weekly “operations summary” — what was completed, what’s pending, and what’s next — to keep leadership aligned.
• Act as weekly standup facilitator, maintaining rhythm and focus.
• Ensure all technology and AV needs are prepped for team meetings.
• Monthly lead Sandbox’s monthly financial close process with accuracy and accountability.
• Ensure all client invoices are sent timely and reminders are issued as needed.
• Manage monthly budgets for snacks, office supplies, and related overhead, keeping spend in line with company priorities.
• Track and execute on swag, special projects, and client gifts, ensuring Sandbox’s culture and brand are consistently represented.
• Quarterly own quarterly tax payments, commission and distribution payouts and work with CPA during tax season to help with preparations.
• Conduct quarterly audits of systems, files, calendars, and onboarding docs, identifying gaps and driving continuous improvement.

Operations Manager

Business Analyst

• Identify business improvement opportunities and support data-driven decision-making and optimizations
• Analyze business and market data to identify trends, risks, and opportunities
• Develop and present reports and dashboards to operational and executive leadership
• Partner with Client Services, Finance, Marketing, and Engineering to translate business requirements into data-driven insights

• Establish and refine processes for customer onboarding, needs assessments, and relationship management
• Monitor workload distribution and scheduling to ensure customers are supported efficiently and effectively
• Collaborate with leadership to plan staffing needs and service delivery strategies
• Track customer satisfaction, identify trends, and implement service improvements
• Conduct regular audits of care coordination interactions and provide feedback to the team

Case Manager

Financial Planning and Analysis

• Manage multiple client accounts and build strong, trusted relationships.
• Oversee client onboarding, historical clean-up projects, and process improvements to establish reliable financial systems.
• Prepare and review month-end close packages, reconciliations, and financial statements.
• Build client-ready reports, dashboards, and financial tools that surface insights.
• Manage and improve accounting processes including chart of accounts design, AP/AR workflows, and cash flow forecasting.
• Collaborate with internal team members and mentor Staff Accountants.
• Keep projects moving using strong organizational skills; use PM tools where applicable.

Manager, Finance and Accounting

• Lead and execute a comprehensive fundraising plan to exceed revenue goals
• Manage digital campaigns and individual giving
• Identify, cultivate, and solicit individual, corporate, and foundation donors
• Oversee donor stewardship and recognition, ensuring timely communication and impact reporting
• Cultivate and manage relationships with corporate partners; secure sponsorships and in-kind donations

Development Manager

• Lead all day-to-day brokerage operations—freight planning, dispatch, tracking, customer operations, and exception management. Build scalable processes and KPIs to ensure high-margin execution and low error rates. Translate long-term business goals into operational roadmaps and org design.\n• Growth & Sales Leadership: Own top-line revenue growth and margin improvement across the freight brokerage. Lead and scale the customer sales team , working closely with enterprise accounts and shippers to drive volume and retention. Develop and execute smart pricing strategies , customer segmentation, and market positioning to accelerate deal velocity and profitability. Partner with executive leadership and RevOps to align GTM execution, pipeline development, and performance forecasting. Be accountable for hitting growth milestones and helping move the brokerage into the top-tier of industry performance.\n• Carrier & Network Strategy: Oversee carrier procurement, rate negotiation, and onboarding. Ensure carrier network performance supports customer expectations and cost objectives. Drive digital adoption of Zuum’s platform by both internal teams and external users.\n• Team Development: Build and coach a high-performance ops team with deep freight knowledge. Champion a culture of accountability, customer-centricity, and continuous improvement.\n• P&L Ownership: Own brokerage P&L, including revenue growth, sales performance, cost optimization, and margin health . Align financial outcomes with strategic execution across sales and operations.\n• Technology & Process Optimization: Partner with the Product and Engineering teams to enhance and evolve Zuum’s tech stack. Lead implementation and optimization of TMS (Transportation Management System) functionality across all relevant operations. Identify opportunities to automate processes, eliminate waste, and scale efficiently.
