About the role

  • Coordinate and schedule interviews between candidates and hiring managers, ensuring timely communication with all parties.
  • Manage interview logistics, including setting up video conferencing or in-person interviews, sending calendar invites, and confirming interview details with candidates.
  • Serve as the primary point of contact for candidates throughout the recruitment process, providing updates, answering questions, and ensuring a positive candidate experience.
  • Send follow-up emails, interview reminders, and feedback to candidates in a timely and professional manner.
  • Assist Talent Acquisition Manager and Recruiters with posting job ads on various job boards and tracking applications.
  • Support recruiters in managing candidate pipelines within the Applicant Tracking System (ATS), ensuring accurate and up-to-date candidate records.
  • Help coordinate the onboarding process for new hires, including preparing offer letters, gathering required documentation, and setting up onboarding meetings.
  • Ensure a smooth transition for new hires by communicating onboarding details and helping them navigate the initial steps of their employment.
  • Perform general administrative duties, such as managing recruitment-related paperwork, organizing files, and maintaining recruitment reports.

Requirements

  • Entry-level role; 0-1 year of relevant experience in recruitment coordination, HR, or administrative support (internships or work-study experience are welcome).
  • Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred but not required).
  • Excellent organizational skills, with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong verbal and written communication skills, with the ability to interact professionally with candidates, hiring managers, and recruiters.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience in ATS Greenhouse required.
  • Attention to detail and a proactive approach to problem-solving.
  • Positive attitude and a strong desire to learn and grow within the recruitment field.
  • Ability to maintain confidentiality and handle sensitive candidate information with professionalism.
