About the role

  • The Executive Assistant provides direct administrative support to the Associate Chief Development Officer & Campaign Director and the Global Director of Principal Gifts.
  • Provides support for division events, retreats, and committee work.
  • Provides back-up support for division toll-free line and Chief Development Officer duties when needed.
  • Handles domestic and international travel arrangements, calendar management, drafting correspondence and contracts, monitoring executives’ email, processing expenses and invoices, and coordinating meetings and events logistics.
  • Uses systems and resources to maintain, track and research data, and produce and review reports.
  • Implements processes and practices to improve effectiveness and satisfy administrative requirements.
  • Coordinates activities with multiple variables, setting realistic deadlines and managing timelines.
  • Communicates on behalf of executives with staff, donors, vendors, and business relations.
  • Performs additional administrative support for individuals, programs, and manages short-term projects as required.

Requirements

  • Bachelor’s degree and 2 years’ experience or equivalent combination.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
  • Ability to analyze information for the purpose of coordinating and planning activities and solving problems.
  • Ability to use existing technology to achieve desired results.
  • Experience interpreting guidelines to achieve desired results.
  • Experience working with a board of directors, donors, volunteers, the public, and/or all levels of staff.
  • Strong organization skills, accuracy, and attention to detail.
