Head of Department

• Responsible for the delivery of entity management company secretarial services to our UK entity client base, including a broad spectrum of governance services
• Providing strategic oversight and leadership on high profile clients, bringing gravitas and experience to interactions with those clients
• Establish and maintain relationships with intermediaries, introducers, and third- party service providers with a view to generating leads and enhancing the business’ offering and reputation as the primary company secretarial service provider in the UK
• Identifying, nurturing and converting new business opportunities in line with the agreed business development strategy and forming sustainable commercial agreements that enable us to meet our new business targets
• Collectively responsible for identifying potential new products, services, sectors, partnerships, and acquisitions to support the continued growth of the CSS business
• Working with our clients and our IT team to iterate our technology strategy as Artificial Intelligence continues to develop at a rapid pace
• Leadership responsibilities for team of 20-25 colleagues within the CSS UK entity management business - providing leadership direction, guidance on management of business practices, performance management, and professional development support
• Developing and growing the team and providing them with stretching opportunities
• Attracting and retaining the best talent in the industry as we continue to grow our service offering and client portfolios
• Maintaining robust succession plans for key team roles and encouraging professional development of colleagues to prioritise fulfilling progression internally
• Responsible for setting and meeting departmental and client related budgets and client profit and loss metrics, monitoring the profitability and quality of workflows undertaken by the UK Entity Management Business
• Planning for and allocation of resource across clients within the UK entity management business and ensuring best-in-class client service is delivered
• Raising the profile of the CSS Business and our service offering through internal and external events and initiatives, including panel participation, making presentations, networking, etc.
• Building strong interdepartmental working relationships with key stakeholders across other Law Debenture business units and leveraging these relationships to inform our roadmap whilst maximising opportunities for business growth.

Executive Assistant – 12 Month FTC

Account Manager

• Build and maintain existing customer relationships to realise the upsell opportunity and successfully retain accounts
• Day-to-day activity will involve contacting customers in a structured manner, discovering, and progressing opportunities
• Development of account plans and adherence to them
• Consultatively build relationships with customers
• Uncover client’s business challenges and identify relevant business opportunities
• Efficiently and effectively process opportunities into sales
• Manage your own pipeline and all work activities, maintaining accurate information and up-to-date forecasts on all prospects
• Achieve sales targets upsell and retention
• Consistently meet or exceed monthly and quarterly sales targets

Financial Planning and Analysis

• Manage and adhere to audit request on an ad-hoc basis for Accounts Receivable
• Support other members of the team with best practice and training when needed
• Undertake all activities required to collect aging debt including emailing and calling clients and/or their Accounts Payable teams
• Re-issue invoices to gain payment, where required
• Investigate and resolve any client payment queries, ensuring cash is applied to the account where appropriate
• Create and manage monthly reporting of debtors in line with month end deadlines
• Chair and hold debt review meetings with business key stakeholders flagging any risks and concerns
• Support other business areas of debt collection and cash allocation outside of own area of responsibility
• Proactively recommend continuous improvements to maximize efficiency and accuracy of existing systems and processes
• Contribute to the development of the Finance team processes to ensure these are cohesive, efficient, and effective
• Undertake training and development as appropriate and engage fully in the performance management process
• Contribute to the Law Deb culture positively, attend meetings as required, and carry out duties willingly and diligently
• Management and distribution of Zendesk tickets, adhering to agreed SLA’s
• Ad hoc Finance tasks as required by the Director of Shared Services

Senior Finance Administrator – Credit Control

Consultant

• Coordination of corporate secretarial work across a range of jurisdictions and time zones worldwide, including annual compliance and corporate actions.
• Ensuring clients’ legal entities are compliant with local corporate secretarial (or equivalent) obligations.
• Monitoring compliance deadlines, reviewing processes, and guiding clients through their responsibilities to ensure obligations are completed on time, ensuring the good standing of client international registrations.
• Management of a number of clients, being a central point of contact, ensuring client satisfaction with the overall service.
• Reviewing and sense checking work performed by international network firms (e.g. ensuring the instructions have been followed, information shared is correctly included in draft documentation, etc.).
• Contributing to revenue through ensuring that invoices for work completed are issued accurately and on time.
• Carry out regular update calls with clients to review progress of ongoing matters and projects and ensure that all action points are completed.
• Assist with setting up of new clients and engaging the local legal teams for provision of corporate secretarial services.
• Responsible for ensuring clients’ databases are up to date and are accurate.
• Maintaining internal systems (i.e. matter management system, and finance software).
• Escalating issues/concerns raised by clients and international network firms, to the appropriate individuals within the GEMS Management Team.
