About the role

  • Own end-to-end interview scheduling for technical roles (Software Engineers, Engineering Managers, and similar), managing complex, multi-panel loops across time zones.
  • Partner with recruiters and hiring managers to coordinate onsite, virtual, and panel interviews with precision and speed.
  • Manage candidate communications throughout the process, ensuring an exceptional candidate experience at every touchpoint.
  • Maintain accurate records in our ATS (Applicant Tracking System) and keep pipelines organized and up to date.
  • Identify friction points in our recruiting workflows and proactively propose and implement improvements.
  • Build and refine scalable coordination playbooks, templates, and SOPs that can grow with the team.
  • Track and report on coordination metrics (scheduling turnaround times, candidate NPS, etc.) and use data to drive improvements.
  • Collaborate cross-functionally with HR, IT, and facilities to ensure seamless onsite interview logistics.
  • Support the rollout of new recruiting tools and integrations that enhance team efficiency.
  • Act as a trusted partner to recruiters, ensuring they can focus on sourcing and relationship-building while you own the operational details.
  • Build strong relationships with hiring managers, particularly within Engineering, to deeply understand their team needs and interview preferences.
  • Serve as the primary point of contact for candidates during the scheduling and interview process, representing our brand with warmth and professionalism.

Requirements

  • 5+ years of recruiting coordination experience, ideally at a high-growth startup or tech company that scaled rapidly.
  • Hands-on experience coordinating interviews for technical roles — you understand what a SWE interview loop looks like and how to schedule one efficiently.
  • Demonstrated ability to manage high-volume scheduling without sacrificing quality or candidate experience.
  • Proficiency with ATS platforms (Greenhouse, Lever, Workday, or similar) and scheduling tools (GoodTime, Calendly, or similar).
  • Strong written and verbal communication skills — you write clearly, follow up proactively, and know how to handle competing priorities with grace.
  • A genuine interest in operational excellence — you're not just executing processes, you're always thinking about how to make them better.
  • Experience building or overhauling coordination workflows from the ground up.
  • Familiarity with recruiting metrics and reporting dashboards.
  • Exposure to technical recruiting for roles like Software Engineers, ML Engineers, or Infrastructure Engineers.
  • Experience supporting a Talent Operations or Recruiting Programs function.
