About the role

Accurately enter high volumes of supplier invoices into Xero
Record construction site address, WIP number, and supplier invoices
Manage weekly and ad hoc payment runs, including remittance advice
Maintain AP inbox and respond to supplier queries in a timely manner
Process employee reimbursements and credit card reconciliations (if applicable)
Ensure compliance with Australian GST and BAS reporting standards
Reconcile supplier statements and resolve discrepancies promptly
Support the month-end close process by ensuring all AP transactions and related bank reconciliation are up to date
Assist with Intercompany transactions and reconciliations
Maintain well-organized and up-to-date records across multiple business entities
Assist ongoing AP process improvement and automation project

Proven experience in Accounts Payable, ideally in a high-volume environment
Strong data entry skills with a high degree of accuracy and attention to detail
Demonstrated experience working with multiple legal entities
Solid understanding of Australian GST rules and business compliance requirements
Proven understanding of the key differences between capital, costs, and expenses
Proficiency in Xero is essential; experience with other software and systems (e.g. MYOB, HubSpot, Salesforce) is a plus
Highly productive, ability to manage workload and meet deadlines under pressure
Excellent communication skills and a proactive approach to problem-solving
Comfortable to engage and work with all levels of internal and external stakeholders
Strong organizational skills and the ability to work independently
Experience in a medium-sized or fast-growing business environment
Demonstrates high resilience with the ability to remain calm and proactive under pressure and maintain a strong customer service focus
Certificate or Diploma in Accounting or Bookkeeping, preferred but not required
