About the role
- Manage resource allocation and staffing across all agency teams for new and existing projects, including account staff, creative and digital
- Provide agencywide visibility into resource capacity and utilization, supplying data, reporting, and recommendations to leadership to support day-to-day resource needs, staffing decisions and forward planning
- Own day-to-day resource allocation and traffic management for the creative and digital teams, assigning work, balancing workloads and adjusting resources as priorities shift
- Assign staff to projects based on skill set, availability, experience level and project priority
- Maintain and update agencywide staffing plans, schedules and utilization forecasts
- Balance short-term project demands with long-term capacity planning and team sustainability
- Track individual and team utilization; identify over- or under-utilization trends and proactively flag risks
- Partner with leadership to address bandwidth constraints, staffing gaps or burnout risks
- Serve as the central point of coordination between project managers, vertical leads and leadership regarding resourcing needs and priorities
- Facilitate regular resourcing meetings to review priorities, timelines, conflicts and upcoming work
- Support new business and proposal efforts by providing staffing plans, utilization estimates and feasibility assessments
- Own and maintain resourcing data within time tracking systems; ensure accuracy, visibility and consistency
- Improve resourcing workflows, tools, templates and reporting to increase efficiency and transparency
- Support onboarding, offboarding and freelance/contractor planning as agency staffing needs evolve
- Other duties as assigned
Requirements
- Typically 3+ years of resource management or public relations, preferably in an agency or consulting environment
- Bachelor’s degree or higher in communications, public relations, marketing, business, management or a related field
- Proficiency with Microsoft Office (Word, PowerPoint, Excel)
- Experience with project management and resourcing software (e.g., Workamajig, Kantata, BigTime, etc.)
- Familiarity with creative, digital and production workflows
- Understanding of agency environment preferred
