About the role
- Answer incoming calls with professionalism, empathy, and clarity
- Support pet owners with questions and appointment coordination
- Schedule, reschedule, and confirm appointments
- Ensure efficient calendar utilization based on clinic needs
- Follow up on missed calls, voicemails, cancellations, and no-shows
- Route messages to the appropriate clinic staff
- Maintain accurate client and patient records
- Support inbox management, reminders, and daily admin workflows
- Deliver a calm and supportive tone aligned with veterinary care standards
- Handle high call volumes while maintaining quality service
Requirements
- +3 years of experience in customer service, receptionist, or scheduling roles
- Experience in veterinary, medical, or high-volume service environments (preferred)
- Strong phone presence and ability to manage frequent calls
- Comfortable using CRM systems, scheduling tools, and digital platforms
- High attention to detail and strong organizational skills
- Fluent English (spoken and written)
- Spanish is a strong plus
- Reliable remote setup with stable internet
- Available to work full-time in U.S. time zones
