Business Operations

• Provide advanced, executive-level administrative and operational support to the Chief Administrative Officer and Chief Technology Officer requiring independent judgment and discretion.
• Proactively manage complex, high-volume calendars for the Chief Administrative Officer and Chief Technology Officer, anticipating conflicts and resolving issues independently.
• Coordinate executive-level meetings, including agenda management, pre-reads, technology setup, minutes or action tracking, and follow-up as appropriate.
• Manage end-to-end executive travel logistics, including itineraries, approvals, real-time adjustments, and coordination with internal and external stakeholders.
• Process and reconcile expense reports and corporate credit card activity with accuracy, timeliness, and adherence to policy.
• Manage purchase orders, invoices, and vendor payments for executive offices, escalating issues as appropriate.
• Coordinate and support virtual and in-person meetings and events for the Business Operations team as well as the agency Senior Leadership Team, including logistics, space planning, catering, materials, and day-of execution to ensure a seamless experience for participants.
• Maintain shared folders, trackers, templates, and calendars for the Business Operations and Shared Services Team.
• Draft and distribute division-wide communications such as newsletters, reports, and intranet updates; support knowledge management initiatives; and ensure timely follow-up on routine tasks.
• Serve as administrator of the agency’s policy library, coordinating with policy owners to manage updates and revisions.
• Serve as Contract Repository Administrator and Timesheet Coordinator for Business Operations & Shared Services.
• Manage operational processes including but not limited to credit card reconciliation, new employee onboarding, invoice processing, technology governance and budget tracking.
• Partner across the division to support the planning and execution of events designed to foster employee connection and engagement.
• Identify opportunities to improve administrative and operational processes; recommend and implement solutions to increase efficiency and consistency.
• Provide coordination and administrative support for ad hoc cross-functional projects which may include event planning, PowerPoint presentations, process documentation, data tracking or change management initiatives.
• Assist in developing project documentation such as workplans, trackers, and status reports.
• Facilitate collaboration between teams by scheduling project meetings, consolidating inputs, and preparing materials for leadership updates.
• Monitor progress, flag risks or delays, and ensure appropriate follow-up with responsible parties to keep projects on track.

Senior Administrator, Business Operations – Shared Services

Administration

• Execute onsite warehouse operations for our Gifts-in-Kind facility in Lexington, KY.
• Conduct the day-to-day operational needs of the facility, including proper maintenance and upkeep of facility and equipment.
• Facilitate inventory management processes.
• Ensure the operations of the warehouse are conducted in a safe manner.
• Receive and send shipments, including loading and unloading trucks.
• Operate electronic and/or motorized equipment including pallet jacks and pallet wrapping machines.
• Conduct accurate and prompt inventory of all shipments.
• Prepare for pick-ups and distributions.
• Coordinate with GIK Staff to ensure all established Gift in Kind goals, processes and timelines are met.
• Perform other related duties as required.

Warehouse Administrator

Operations

• Partner with I&E leadership and M&G to align private fundraising priorities with division strategy, funding gaps, and programmatic capacity.
• Represent I&E for the development of annual and multi-year private funding goals and track progress against division targets.
• Serve as the primary liaison between I&E and M&G to ensure consistent positioning, messaging, and understanding of programmatic priorities.
• Identify trends, risks, and gaps across the private pipeline and elevate strategic opportunities or concerns to leadership.
• Monitor domestic and international portfolios ensuring opportunities reflect division-wide priorities and avoid internal competition.
• Lead priority private funding project opportunities within I&E, ensuring alignment across technical teams, MERL, finance, and leadership.
• Responsible for internal inputs, timelines, and decision points for high-value or complex opportunities.
• Establish and maintain clear processes for reviewing and aligning opportunities with I&E priorities and programmatic realities.
• Facilitate go/no-go decision-making for major opportunities in partnership with I&E and M&G leadership.
• Provide strategic guidance on high-value, cross-portfolio opportunities to ensure feasibility and alignment with division strategy.
• Track progress of priority opportunities across the division and ensure follow-through on action items.
• Identify opportunities to leverage funding across initiatives or align private funding with public funding strategies.
• Responsible for division-level fundraising resources and programmatic content on SaveNet to reflect SCUS strategic priorities and areas of greatest need.
• Ensure fundraisers and leadership have access to clear, current information on I&E priorities, programmatic strengths, and funding gaps.
• Coordinate with program, MERL, and communications teams to ensure donor-facing messaging reflects Impact & Evidence strategy.
• Facilitate regular coordination between I&E and M&G to review pipeline progress, share insights, and strengthen alignment.
• Elevate effective fundraising across portfolios through improved systems, tools, and knowledge-sharing.

Senior Advisor, Portfolio Strategy – Operations

Communications

• Develop of communications products. (60%)
• Take ownership of communications projects, overseeing the creation and editing of content sourced from program and country office staff to develop final products such as reports, proposals, and concept papers.
• Ensure consistency and accuracy of information at all stages of project communication.
• Tailor writing style to align with the technical expertise of donors, avoiding unnecessary jargon and presenting information effectively to achieve desired outcomes.
• Liaise with fundraisers to ensure that initial activities outlined in concept notes or proposals are appropriately reflected (or omitted) in the reports.
• Interact regularly with fundraisers and program staff to understand projects and donor needs and request additional information and clarification as needed to complete projects successfully.
• Support the execution of thought leadership opportunities with key donors and develop timely and compelling pieces (blogposts, op-eds, etc.) to position Save the Children as leaders in children’s rights and protection.
• Liaison with Corporate partnerships team. (20%)
• Stay current on the evolution of the private sector landscape and corporate giving trends based on competitive mapping and internal stakeholder feedback.
• Partner with fundraisers to ensure timely delivery of quality materials in optimal formats (i.e., printed, electronic, video, etc.) to support corporate engagement and increased giving in alignment with established program priorities.
• Collaborate on the creative and strategic use of resources (i.e., virtual donor roundtables) that will provide an experiential link to Save the Children’s programs and will provide a full range of donor engagement opportunities.
• Garner feedback from fundraisers on content with an eye toward continuous improvement to meet/exceed donor needs/expectations.
• Design visual/digital assets and identify/pilot the use of new tools and approaches (20%)
• Develop an array of digital communications directed at fundraising for high value donors, such as customized microsites for key corporate partners.
• Design and develop compelling pieces (blogposts, op-eds) and multimedia assets, such as newsletters, infographics, videos, blogs, etc.
• Develop, collaborate, and make recommendations on potential digital content, including web stories, and social media posts that enhance the visibility of programs and partnerships.
• Manage asset development with third-party vendors when it comes to video content and design projects.
