About the role

  • Coordinate office staff activities to ensure maximum efficiency
  • Address employees queries regarding office management issues (travel, event, meetings, hardware, stationery)
  • Implement office policies and procedures
  • Provide general support to internal and external visitors (transfers, accommodation, Shipyard entrance badge, wifi, etc)
  • Support tasks related to foreign employees working in Finland (including tax numbers, dealing with the tax office)
  • Monitor office supplies – inventory control
  • Co-ordinate schedules, appointments and bookings
  • Maintain the office condition and arrange necessary repairs, improvements and modifications at the site office
  • Ensure that tools and equipments are available at the site office as needed including but not limited to inspection, safety, work clothes etc….
  • Plan and organize in-house or off-site activities, like parties, celebrations and events
  • Coordinate safety trainings and other trainings that are required by the yard or law
  • Management of user rights related to computers and various shipyard systems
  • Ensure that the everyday life of the office runs smoothly and that our employees feel at home and welcome
  • Support HRBP in onboarding process for new hires, including set-up of the working environment including the set-up of IT functions
  • Partner with HR to update and maintain office policies as necessary
  • Coordinate with IT department on all office equipment, including new hires equipment
  • Hands on experience with IT related office machines (printers, laptops, Webex meeting…)
  • Ensure security, integrity and confidentiality of data
  • Support and coordination function for invoicing, agreements related to site office related tasks and contracts.

Requirements

  • Strong people management and communication skills
  • Experienced in management of complicated projects in a multi-cultural environment
  • Detailed understanding of the regulatory requirements for site office
  • Some understanding of shipbuilding processes
  • Computer literate
  • Fluency in Finnish and English
  • Ability to endure high stress levels
  • Proficiency in MS Office and company developed software
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong organizational and planning skills in a fast-paced environment
  • Excellent written and verbal communication skills
  • Attention to detail and high level of accuracy
