About the role
- Manage the Legal Director’s diary, arranging internal and external meetings
- Screen and prioritise communications (e.g. emails and other requests)
- Ensure timely and accurate communication across the Legal function
- Track key dates, governance deadlines and routine deliverables for the Legal Director
- Chase actions, reminders and inputs from internal stakeholders
- Maintain oversight of recurring rhythms and ensure all associated activities are maintained
- Schedule meetings, workshops and events, ensuring all logistics are in place
- Prepare and organise agendas, materials and pre reads as required
- Take minutes, track actions and follow up with relevant stakeholders
- Coordinate travel arrangements (domestic and occasional international)
- Prepare itineraries and ensure all documentation is in place
- Manage last minute changes with calm and professionalism
- Maintain filing systems — digital and physical — for legal documents, confidential files and correspondence
- Support document formatting, proofreading and basic drafting
- Ensure secure handling of sensitive legal and governance information
- Process expenses and raise purchase orders
- Support invoice tracking, coding and approval processes in line with policy
- Provide general administrative support to the wider Legal team as required
- Assist with onboarding documentation, induction logistics and coordination for new joiners
- Support Legal team events, engagement activities and training sessions
Requirements
- Previous experience in an EA/PA, team assistant or administrative role, ideally in a professional services, legal or corporate environment
- Strong organisational and diary management skills
- Excellent written and verbal communication skills
- Proficiency with Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams)
- High degree of integrity, confidentiality and discretion
- Strong attention to detail and ability to manage multiple tasks calmly and effectively
