About the role

  • Act as a primary point of contact for candidate inquiries, providing timely, accurate, and professional responses in both French and English.
  • Support candidate onboarding processes, including documentation collection, employment verification, and completion of required forms.
  • Prepare, validate, and track paperwork required for background checks (criminal and/or credit, where applicable)
  • Ensure onboarding and documentation processes meet VMS requirements, internal governance standards, and Canadian employment legislation.
  • Maintain accurate and up‑to‑date candidate records, notes, and status changes within Bullhorn (ATS)
  • Partner closely with VMS Recruiters to support recruitment delivery through coordination and administrative support.
  • Monitor onboarding progress and proactively follow up with candidates to ensure timely completion.
  • Escalate compliance, documentation, or onboarding issues as required.
  • Leverage AI‑enabled tools to support communication, follow‑ups, and workflow efficiency.
  • Support recruitment and onboarding projects as needed.
  • Contribute to a positive, professional, and team‑oriented environment.

Requirements

  • 2–3 years of experience in customer service, recruitment coordination, staffing, HR, or professional services
  • Experience supporting high‑volume recruitment; VMS or MSP experience is considered a strong asset.
  • Bilingual in French & English (spoken and written) — required.
  • Experience using Bullhorn or another ATS is considered an asset.
  • Comfortable working with MS Office and Office 365 tools (Outlook, Word, Excel, SharePoint, Adobe Acrobat)
  • Strong understanding of compliance, governance, and Canadian employment standards
  • Exceptional written and verbal communication skills
  • Highly organized with strong attention to detail and follow‑through.
  • Positive, adaptable, and solution‑focused mindset
  • Bachelor’s degree and/or post‑secondary education is an asset.
