About the role

  • PrivacyWorks receives often large volumes of raw files and data from our public-sector clients for processing and release under Freedom of Information (FOI) and Access to Information (ATI) laws. The Data Operations Coordinator will play a pivotal role in compiling, sorting, vetting and preparing these raw files into optimized, review-ready (i.e. PDF format) files to be assigned to our team for review. Specific responsibilities: Act as a point of contact for client records transfer handling under the supervision of senior team members. Assist with the secure intake and transfer of client files and data into PrivacyWorks custody, including basic quality checks and initial troubleshooting. Support the categorization and organization of incoming files to ensure proper routing and processing. Use eDiscovery and digital forensic software to bulk index, vet, de-duplicate, sort, convert, and prepare large volumes of raw files into compiled, review-ready PDF documents. Apply basic keyword and metadata search filters under guidance to help tag and sort records by relevance, topic, or source. Manually convert a variety of file types (e.g., spreadsheets, high-resolution images) into optimized PDFs, ensuring clarity and legibility. Name, sort, and prepare digital files for further review and redaction by senior analysts. Log, track, and organize incoming records during the intake phase to ensure proper documentation and auditability.

Requirements

  • You are technically minded with a keen interest in learning, troubleshooting, improving and refining technical processes across multiple systems and software. You have direct experience working with eDiscovery or digital forensic software like Nuix, Relativity or IPRO. You are highly organized, meticulous and willing to roll up your sleeves to get the job done. You are self-motivated and driven to deliver exceptional results, both independently and as part of a team. You have long-term interest in building a career within the FOI/ATIP field. Prior experience in these fields is considered an asset. You are a strong communicator who can relay important information, concepts and procedures to clients while maintaining a positive, customer-oriented tone. You have a proven ability to prioritize and multi-task.
