About the role
- Ensure seamless execution of the sales process from initial quote to invoicing and collections.
- Create, enter, and maintain accurate quotes in QuickBooks; set up new customer accounts and prepare comprehensive quote packages.
- Convert approved quotes into sales orders within the ERP system with 100% data accuracy; issue sales order confirmations.
- Coordinate requirements and order execution with engineering and operations teams to ensure correct, on-time delivery.
- Communicate deposit requests and follow up with customers to ensure prompt payments.
- Generate and issue invoices and payment requests through QuickBooks; apply payments accurately and reconcile discrepancies.
- Monitor outstanding payments and proactively follow up to minimize delinquencies; assist with lien filings and notices to owners.
- Collaborate closely with Accounts Receivable and cross-functional teams to resolve payment and order discrepancies efficiently.
Requirements
- 3-4 years in sales support, order processing, or related administrative/operational roles.
- Proficiency in ERP, accounting systems (QuickBooks preferred).
- Advanced Microsoft Office skills, particularly Excel, Outlook, and Word.
- Exceptional attention to detail with a strong commitment to accuracy in data entry and record-keeping.
- Proven ability to multitask and manage competing priorities effectively.
- Strong critical thinking skills with the capacity to work independently and make sound decisions.
- Excellent written and verbal communication, able to convey information clearly to internal teams and customers.
- Collaborative mindset, capable of working seamlessly across sales, engineering, operations, and finance teams.
- Comfortable working with U.S.-based teams and customers across time zones.
- Legally authorized to work in the Philippines; consent to background checks and disclosure of prior employment within last 10 years.
