About the role
- Provide confidential administrative support to the Office of Population Management
- Manage calendars, schedule meetings, prepare agendas and reports
- Maintain and safeguard sensitive information; draft and proofread correspondence
- Serve as a professional point of contact for internal and external stakeholders
- Support data tracking and reporting and assist with special projects
- Ensure deadlines and priorities are managed effectively for office leadership
- May be required to report to institutions and participate in in-person meetings with adults in custody
- Work involves prolonged computer use, telephone communications, and frequent interruptions; may require after-hours, weekend, overnight in-state travel
Requirements
- Three (3) years of clerical/secretarial experience including one (1) year at a full performance level performing typing, word processing, or other generating of documents
- Lead work responsibility or coordination of office procedures
- Courses or training in Office Occupations or Office Technology may be substituted for up to one (1) year of clerical/secretarial experience
- Experience providing administrative support in an executive or professional office environment
- Strong organizational and time management skills with ability to prioritize competing demands
- Ability to maintain confidentiality and handle sensitive information with discretion
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or equivalent tools
- Excellent verbal and written communication skills
- Experience supporting leadership or management staff
- Strong problem-solving and initiative-taking abilities
- Ability to work independently while contributing to a collaborative team environment
- Must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility
- PREA restrictions may disqualify applicants with certain sexual abuse convictions or adjudications
- Must be willing and able to work in a remote work environment and report to Headquarters at least two days a week
- May require a regular driver's license with a clean driving record
- Must be able to lift up to 50 pounds and work in correctional facility settings with potential exposure to graphic material and hostile individuals
