About the role

  • Provide confidential administrative support to the Office of Population Management
  • Manage calendars, schedule meetings, prepare agendas and reports
  • Maintain and safeguard sensitive information; draft and proofread correspondence
  • Serve as a professional point of contact for internal and external stakeholders
  • Support data tracking and reporting and assist with special projects
  • Ensure deadlines and priorities are managed effectively for office leadership
  • May be required to report to institutions and participate in in-person meetings with adults in custody
  • Work involves prolonged computer use, telephone communications, and frequent interruptions; may require after-hours, weekend, overnight in-state travel

Requirements

  • Three (3) years of clerical/secretarial experience including one (1) year at a full performance level performing typing, word processing, or other generating of documents
  • Lead work responsibility or coordination of office procedures
  • Courses or training in Office Occupations or Office Technology may be substituted for up to one (1) year of clerical/secretarial experience
  • Experience providing administrative support in an executive or professional office environment
  • Strong organizational and time management skills with ability to prioritize competing demands
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or equivalent tools
  • Excellent verbal and written communication skills
  • Experience supporting leadership or management staff
  • Strong problem-solving and initiative-taking abilities
  • Ability to work independently while contributing to a collaborative team environment
  • Must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility
  • PREA restrictions may disqualify applicants with certain sexual abuse convictions or adjudications
  • Must be willing and able to work in a remote work environment and report to Headquarters at least two days a week
  • May require a regular driver's license with a clean driving record
  • Must be able to lift up to 50 pounds and work in correctional facility settings with potential exposure to graphic material and hostile individuals
