About the role

  • Leading global conference series for the AI and data science community
  • Manage sponsor and partner relationships, contracts, onboarding, and partner communication
  • Track, manage, and update business development and partner contracts and documentation
  • Coordinate partner onboarding: welcome emails, asset collection, and record-keeping
  • Support identification of upsell and renewal opportunities
  • Draft, process, and track contracts for venues, vendors, suppliers, and service providers
  • Liaise with vendors to confirm services and ensure smooth onsite execution (AV, F&B, booth setups)
  • Research, source, and coordinate conference swag and branded materials
  • Prepare and distribute partner FAQs, booth selection forms, and setup instructions
  • Track Eventbrite registrations, team passes, booth orders, and vendor deliverables
  • Coordinate with internal teams (content, marketing, ops) and support post-event wrap-up and reporting

Requirements

  • 2+ years of experience in account management, business development coordination, or event operations
  • Strong communication and organizational skills
  • High attention to detail with the ability to manage multiple contracts and timelines
  • Proficiency with Google Workspace (Docs, Sheets, Drive), HubSpot or similar CRMs, and Eventbrite (a plus)
  • Previous experience working with B2B clients, sponsors, or vendors (a plus)
  • Interest or background in data science, AI, or technology events (a plus)
  • USA Travel Visa is a plus
